Duties
Enter, update, and maintain data accurately within multiple systems, including spreadsheets and databases.
Manage multi-line phone systems to handle inquiries professionally and direct calls appropriately.
Support office management tasks such as filing, document proofreading, and record keeping.
Utilize Microsoft Office Suite and Google Workspace tools for document creation, editing, and organization.
Assist with calendar management, scheduling appointments, and coordinating meetings.
Provide customer service support by responding to client inquiries via phone or email with professionalism.
Perform clerical tasks such as data verification, proofreading documents, and preparing reports.
Maintain organized filing systems both digitally and physically to ensure quick retrieval of information.
Support bookkeeping activities using QuickBooks or similar accounting software as needed.
Contribute to front desk operations by greeting visitors and managing office supplies.
Experience
Proven experience in office administration or clerical roles with a focus on data entry.
Familiarity with office management procedures including filing systems and calendar coordination.
Strong computer literacy with proficiency in Microsoft Office (Word, Excel), Google Workspace, and productivity software.
Experience handling multi-line phone systems and providing excellent customer support.
Bilingual abilities are a plus to effectively communicate with diverse clients.
Previous experience in medical or dental reception is advantageous but not required.
Demonstrated organizational skills with the ability to prioritize tasks efficiently.
Knowledge of bookkeeping practices using QuickBooks or similar software is preferred.
Excellent typing speed with high accuracy; attention to detail is critical.
Ability to manage time effectively in a fast-paced environment while maintaining professionalism.
