Executive Assistant
Position Overview: We are seeking a highly organized, proactive, and resourceful Executive Assistant to support a dynamic executive in the talent management and hospitality space. This role is ideal for someone who thrives in a fast-paced, creative environment and can seamlessly manage both administrative responsibilities and talent-related coordination.The Executive Assistant will act as a key partner, helping to manage day-to-day operations, communications, scheduling, and talent logistics. Discretion, attention to detail, and strong interpersonal skills are essential.Key Responsibilities: Manage complex calendars, scheduling meetings, calls, travel, and events across multiple time zonesCoordinate domestic and international travel, including itineraries, accommodations, and reservationsServe as a liaison between the executive and talent, brands, partners, and internal stakeholdersAssist with talent management logistics, including bookings, contracts, deliverables tracking, and timelinesSupport coordination of brand partnerships, appearances, events, and media opportunitiesHandle email and communication management, including drafting responses and prioritizing correspondenceMaintain organized records of talent engagements, contracts, and key documentsTrack invoices, expenses, and basic budgeting related to talent and projectsAssist with special projects, research, and ad hoc tasks as neededEnsure the executive is prepared for meetings, events, and appearances (briefing materials, agendas, etc.)Qualifications:2+ years of experience as an Executive Assistant or in a similar support role, preferably within talent management, media, hospitality, or entertainmentStrong organizational and time management skills with the ability to prioritize effectivelyExcellent written and verbal communication skillsHigh level of discretion and professionalismExperience coordinating travel and managing complex schedulesDetail-oriented with strong follow-throughComfortable working in a fast-paced, ever-changing environmentPreferred Experience:Exposure to talent management, influencer relations, or brand partnershipsInterest or background in culinary, food & beverage, wine, or hospitality industriesExperience supporting a public-facing executive or personalityPay for this position: $23/hr. Overtime is time and a half. Bonus eligible. This position works a hybrid schedule of 3 days in office, 2 days WFH.
