The Receptionist/Administrative Assistant serves as the first point of contact for the firm, providing a professional and welcoming experience for clients, visitors, callers and staff. This role supports daily office operations by managing front-desk activities while also coordinating inbound and outbound shipments related to engineering projects, office supplies, and technical documents. The ideal candidate is organized, courteous, detail-oriented, and comfortable balancing administrative and logistical responsibilities in a professional engineering environment while maintaining a customer-service mindset and a professional demeanor.Find out more about the daily tasks, overall responsibilities, and required experience for this opportunity by scrolling down now.Core Responsibilities for the RoleReceptionist & Front DeskGreet visitors, clients, and vendors in a professional and friendly mannerAnswer and route incoming phone calls; respond to general inquiriesReceive, sort, and distribute mail and deliveriesMaintain a clean, organized, and professional reception areaCoordinate visitor access, meeting room reservations, and office calendarsProvide general administrative support to office staff as neededShipping & ReceivingReceive, log, and distribute incoming shipments, including plans, project materials, equipment, and suppliesPrepare outgoing shipments using courier services (FedEx, UPS, USPS, freight, etc.)Package documents and materials securelyTrack shipments and resolve delivery issues with carriersMaintain shipping records, tracking numbers, and delivery confirmationsCoordinate with project teams and internal departments to ensure timely and accurate delivery of materialsAdministrative SupportAssist with document scanning, copying, filing, and data entrySupport project documentation and processes as directedFollow company policies for record retention, confidentiality, and safetyQualifications, Skills, and Competencies:Education/ SkillsHigh school diploma or equivalent required; additional administrative training preferred2+ years of experience in a receptionist or administrative support roleExperience with shipping and receiving or logistics coordination preferredProficiency in Microsoft Office (Outlook, Word, Excel)Strong verbal and written communication skillsExcellent organizational skills and attention to detailAbility to manage multiple tasks and prioritize effectivelyPhysical & Work RequirementsAbility to lift and move packages up to approximately 3040 lbsAbility to sit, stand, and walk throughout the workdayComfortable working in an office environment.Why Would a Candidate Want This Job?At Horrocks, you can expect a competitive base salary and award-winning benefits.
