Job Title: TA CoordinatorLocation: Lake County, IL (Hybrid)Duration: 6 Months (with potential extension)Role OverviewAs a Talent Acquisition Coordinator, you will support recruiters in the recruitment process by handling key tactical steps such as scheduling interviews, arranging candidate travel, managing applicant tracking system data, and overseeing other necessary candidate workflow tasks. The role will focus on the recruitment needs related to the MSL expansion in Immunology.Key ResponsibilitiesInterview & Travel Coordination:Contact candidates within 48 hours of receiving schedule requests and process all scheduling requests within 3 days of receipt.Coordinate domestic and international travel, accommodations, and process expense reimbursements before the interview.Ensure the accuracy of interview schedules and send them to the interview team and candidates 5 days prior to the interview.Send interview evaluation forms to interview teams 48 hours before interviews and ensure continuous updates to recruiters about interview schedule status.Engage recruiters if obstacles occur during the scheduling process and ensure compliance with federal mandates (e.g., Sunshine Act, OFCCP).Applicant Tracking System (ATS) Updates:Update Taleo ATS with candidate statuses and upload interview schedules.Stakeholder Communication:Regularly interact with hiring managers and administrative assistants at all levels, including VP and C-Suite administrative staff.Pre-Employment Screenings:Process pre-employment screenings, including background checks and drug screenings, through completion.Candidate Experience:Provide high-touch customer service to candidates, hiring managers, and administrative staff to ensure a positive candidate and hiring manager experience.For high-level candidates (Grade 24+), personally escort candidates through the interview day to ensure a world-class candidate experience.Event Coordination:Lead hiring events (onsite or offsite) for complex, high-visibility hiring initiatives. Manage scheduling, travel coordination, event planning, meals, candidate check-ins, and reimbursements.Team Collaboration:Share weekly scheduling volume and assist colleagues when appropriate to distribute the workload evenly among the coordinator team.Required QualificationsEducation: Bachelor's Degree preferred (Degree in Human Resources is a plus).Experience: Minimum 2 years of previous experience in staffing coordination or within an HR environment.Skills:Strong communication skills (verbal and written).Excellent customer service skills, including phone etiquette, attention to detail, and follow-up.Ability to handle multiple tasks and prioritize workload effectively.Proficiency in MS Office products and applicant tracking systems (Taleo).Excellent organizational and time management skills.Thanks in advance for your time and consideration, please feel free to provide a current version of your resume.
