Front Desk Coordinator The Front Desk Coordinator serves as the first point of contact for individuals receiving outpatient mental health and substance abuse services. This role is responsible for providing exceptional customer service, ensuring smooth front office operations, and supporting clinical and administrative staff. The ideal candidate demonstrates professionalism, empathy, confidentiality, and strong organizational skills in a fast-paced healthcare environment.Essential Duties and Responsibilities:Greet and assist all individuals in a professional, respectful, and compassionate manner, both in person and over the phone.Provide clients with the registration packets via email, mail, or in person and ensure they receive them and complete it in a timely manner.Provide guidance to clients in completing registration packets and signing consents as needed.Review registration packets for all new and established individuals, ensuring accuracy and completeness of documentation.Upload registration packets to the individual's chart in Credible.Ensures registration and consents are completed prior to intake assessment and follow up as needed.Schedule, reschedule, and confirm appointments as needed in accordance with facility procedures.Confirm all intake appointments 24 hours prior to the scheduled time or as otherwise required.Assist individuals with inquiries related to therapy and case management services, directing concerns appropriately when needed.Support the Scheduling Specialist with appointment coordination and administrative tasks as needed.Maintain accurate records and ensure all client information is handled in compliance with confidentiality and HIPAA regulations.Monitor front desk workflow to ensure timely check-in and check-out processes.Communicate effectively with clinical and administrative staff to ensure continuity of care.Perform other related duties as assigned by Clinical Services ManagerQualifications:To successfully perform in this position, the employee must execute each duty satisfactorily, possess excellent customer service skills, be detail oriented, and must be bilingual. Minimum of 13 years of experience in a front desk, receptionist, customer service, or administrative support role.Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written or oral form.Physical demands:The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
