Executive Administrative / Personal Assistant AmeriTech Contracting is seeking a highly organized and proactive Executive Administrative / Personal Assistant to provide comprehensive administrative and clerical support to the CEO. This role ensures smooth office operations, supports project teams, and helps maintain effective communication across the organization. The Executive Admin /Personal Assistant serves as a key support resource, assisting with scheduling, documentation, and general office management.Key ResponsibilitiesManage CEOs calendar, scheduling, and meeting prioritizationCoordinate internal and external meetingsPrepare agendas, briefing materials, and follow-up action listsDraft and edit correspondence on behalf of CEOScreen calls, emails, and inquiries with discretionTrack key deadlines and deliverablesAssist with document management, filing, and recordkeepingAnswer and direct phone calls, emails, and visitor inquiriesServe as a liaison between departments and external stakeholdersSupport internal communication and office updatesHelp prepare materials for meetings, client presentations, and reportsOffice ManagementMaintain office supplies, equipment, and workspace organizationCoordinate mail, shipping, and deliveriesAssist in onboarding new employees and maintaining employee recordsPersonal Assistant TasksManage personal appointmentsHandle limited personal travel arrangementsOversee household vendor coordinationQualificationsRequired:High school diploma or equivalent; associate degree preferred7+ years of executive level administrative support experienceHigh discretion and confidentialityExcellent verbal and written communication skillsStrong organizational skills and attention to detailProficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)Preferred:Experience in construction, project-based, or federal contracting environmentKnowledge of office management systems and proceduresAbility to handle confidential information with discretionSkills and CompetenciesAdministrative and clerical supportScheduling and calendar managementCommunication and interpersonal skillsOrganization and time managementProblem-solving and adaptabilityAttention to detail and professionalism
