Job Description Summary:The Site Services Manager is responsible for leading and optimizing site-wide support functions to ensure efficient, cost-effective, and high-quality service delivery. This role oversees a diverse team and drives operational excellence across administrative, analytical, procurement, and project management functions. The ideal candidate brings strong expertise in procurement strategy, cost savings initiatives, and team leadership, with a continuous improvement mindset.Job ResponsibilitiesLeadership & Team ManagementLead, mentor, and develop a cross-functional team including but not limited to: Coordinator Assistants, Administrative Assistant, Data Analyst, Project Manager, and Procurement SpecialistSet clear goals, monitor performance, and foster a collaborative, high-performing team environmentSupport employee development through coaching, training, and succession planningOperational ExcellenceOversee daily site services operations to ensure efficiency, consistency, and alignment with organizational goalsIdentify process improvement opportunities and implement streamlined workflowsPartner with cross-functional teams to support site needs and business prioritiesProcurement & Cost ManagementDrive procurement strategies that maximize value and ensure compliance with company policiesLead cost savings initiatives, including vendor negotiations, contract optimization, and spend analysisMonitor budgets, track savings, and report on financial performance related to site servicesProject & Program ManagementOversee and support site-level projects, ensuring timely delivery and alignment with scope and budgetCollaborate with the Project Manager to prioritize initiatives and manage resources effectivelyUtilize data and metrics to evaluate project outcomes and inform decision-makingData & ReportingLeverage data analytics to identify trends, improve operations, and support strategic decisionsEnsure accurate reporting and visibility into key performance indicators (KPIs)Partner with the Data Analyst to enhance reporting tools and dashboardsProcurement & Vendor ManagementManage vendor relationships, including selection, performance evaluation, and contract complianceEnsure service levels meet expectations and address any performance gaps proactivelySustainability (Preferred)Support or lead sustainability initiatives related to site operations, waste reduction, and resource optimizationIdentify opportunities to improve environmental impact while maintaining cost efficiencyAdditional ResponsibilitiesServe as the Subject Matter Expert (SME) for all site service/TLS activitiesPartner with customer safety representatives to maintain a high level of laboratory safety and complianceParticipate in floor/building oversight meetings and maintain regular communication with key stakeholders to proactively address and resolve issuesCollaborate closely with the Service Manager to drive talent development, workforce planning, and overall business performanceIdentify opportunities for service expansion and support business growth through collaboration with internal and customer stakeholdersLead hiring activities including interviewing, selection, and onboarding of new team membersAddress employee performance and disciplinary matters in alignment with company policyDevelop, implement, and maintain SOPs, work instructions, and supporting documentation to ensure consistent service deliveryEnsure compliance with all health, safety, environmental, and security policies and proceduresMaintain readiness for regional travel based on business needs. Basic Qualifications: Bachelor’s degree in Business, Operations, Supply Chain, or related field (or equivalent experience)Proven experience in procurement, vendor management, and cost savings initiativesDemonstrated leadership experience managing diverse teamsStrong analytical, problem-solving, and decision-making skillsExcellent communication and stakeholder management abilitiesPreferred Qualifications: Experience working in a research laboratory environment with experience within the pharmaceutical industry is highly preferred. Expertise in data analysisStrategic thinking and executionLeadership and team developmentFinancial and business acumenProject management experience or certificationKnowledge of laboratory safety practices. Knowledge of 5S and/or 6 sigma principles. Working Environment: Must be able to work in a laboratory, controlled environments requiring personal protective equipment (e.g., lab coat, safety glasses, etc.) in laboratory. Job pace may be fast and job completion demands may be high. Must be able to remain in a stationary position more than 25% of the time The person needs to occasionally move between labs, corridors, adjoining rooms, and buildings onsite Frequently operate on instruments, objects, tools or controls, which will require regularly bending, squatting, stretching and reaching in order to perform in a service function. Occasionally move or lift up to 25 pounds.
