Office Administrative Assistant (Mail & Document Processing)
Job Overview
We are seeking a reliable, detail-oriented Office Administrative Assistant to support our document processing operations. This role is responsible for handling incoming mail, preparing documents for digital storage, scanning and indexing records, and assembling documents for printing and mailing. The ideal candidate is organized, efficient, and comfortable working with confidential financial and business documents.
Experience with tax-related documents is a plus but is not required.
Key Responsibilities
· Open, sort, and distribute incoming mail and packages.
· Prepare documents for scanning, including removing staples, organizing pages, and ensuring documents are complete.
· Scan paper documents into electronic document management systems.
· Verify scanned documents for completeness, quality, and accuracy.
· Organize and electronically file scanned documents.
· Prepare documents for printing, assembly, and mailing.
· Fold, stuff, seal, and apply postage to outgoing mail.
· Maintain organized paper and electronic filing systems.
· Handle confidential client information with professionalism and discretion.
· Perform general office support tasks as assigned.
· Keep work areas organized and maintain office supplies related to document processing.
QualificationsRequired
· High school diploma or equivalent.
· Strong attention to detail and organizational skills.
· Basic computer proficiency, including Microsoft Office.
· Ability to work independently and follow established procedures.
· Excellent reliability and punctuality.
· Ability to handle repetitive tasks while maintaining accuracy.
· Ability to lift and move boxes of documents up to 25 pounds.
Preferred
· Experience in an administrative, clerical, or document processing role.
· Familiarity with scanners, copiers, and mailing equipment.
· Experience working with confidential financial or business records.
· Familiarity with tax documents (such as Forms W-2, 1099, 1040, K-1, and supporting documentation) is helpful but not required.
· Experience with document management or electronic filing systems.

Work Environment
