Secretary - Medical Education

Reports to the Manager. Responsible to assist the Manager and other departmental personnel in ensuring a smooth and efficient flow of the department to include: greeting and directing Physicians and Guests, answering a multi-line telephone system, appointment setting and follow-up, maintaining adequate ordering of supplies in the front desk area, filing, respond to client and patient complaints, compile reports for medical staff meetings statistical. Office Administration: Maintaining files, managing records, ordering supplies, including routine clerical duties, handling mail, filing, photocopying, faxing. Communication: Answering phones, directing calls, taking messages, and managing emails. Receives and assists physicians/visitors. Scheduling: Organizing meetings, appointments, maintaining meeting room calendar. Documentation: Preparing, editing, and formatting documents, reports, and presentations. Professional Requirements Discretion & Confidentiality: Handling sensitive information with professionalism. Strong customer service skills. Proficiency in Software: Familiarity with Microsoft Office Suite (Word, Excel, PowerPoint) and office management systems Communication: Excellent verbal and written communication skills. Organization: Strong organizational and time-management High school graduate or equivalent.
