Dispatcher (HVAC Service)Weymouth, MA$25-$35 per hourFull-time | Temp-to-HireJob SummaryWe are seeking a highly organized and customer-focused Dispatcher to coordinate scheduling, assignments, and communication for Service and Preventative Maintenance (PM) technicians. This role is critical to ensuring timely, efficient, and high-quality service delivery.The Dispatcher serves as the central point of contact for customers, technicians, and management, balancing daily workload, prioritizing urgent calls, and maintaining accurate service records. This position requires strong multitasking abilities, attention to detail, and a solid understanding of HVAC/R systems and service operations.Key ResponsibilitiesSchedule and dispatch technicians based on skillset, availability, and priorityAdjust schedules throughout the day to accommodate emergencies, delays, and customer changesOptimize routing and workloads to improve response times and productivityCoordinate building access and send appointment confirmationsCreate, update, and close work orders within the service management systemEnsure job documentation is complete, including notes, materials, photos, and time entriesTrack open jobs, return visits, warranty calls, and pending follow-upsReceive and process incoming service requests via phone, email, and customer portalsProvide customers with updates, confirmations, and post-service follow-upsMonitor technician status and progress throughout the dayAssist with purchasing, parts coordination, and inventory trackingSupport billing processes by verifying completed work and recorded laborMaintain accurate records in dispatch and CRM systemsGenerate and review reports on service activity, technician productivity, and customer satisfactionEscalate complex issues to management as neededQualificationsHigh school diploma or equivalent requiredAssociate degree or coursework in HVAC/R or business preferred2-5 years of dispatching experience, preferably in HVAC or a related fieldStrong familiarity with commercial HVAC service operations preferredExperience with dispatch/service software (e.g., Jonas, XOi)Proficiency in Microsoft Office (Word, Excel, Outlook)Strong organizational and multitasking abilitiesExcellent verbal and written communication skillsAbility to manage competing priorities and problem-solve in real timeCustomer-focused, dependable, and detail-orientedAbility to interpret work orders, technical notes, and reportsKnowledge of service operations and preventative maintenance workflowsWillingness to work flexible hours or overtime as neededRequirementsRegularly required to sit, stand, walk, and use hands for administrative tasksOccasionally required to lift or move itemsAbility to communicate effectively in person and by phoneMust have sufficient vision and hearing to perform job dutiesIf interested in this role please send resume to STEVE SCAVONE: All qualified applicants will receive consideration for employment without regard to race, color, national origin, age, ancestry, religion, sex, sexual orientation, gender identity, gender expression, marital status, disability, medical condition, genetic information, pregnancy, or military or veteran status.
