We are seeking a highly professional individual who values excellence, discretion, and consistency in every interaction.As the first point of contact, you set the tone for every patient experience, and you take pride in contributing to a team focused on delivering exceptional care.Key ResponsibilitiesClient Communication and CoordinationServe as the first impression of the practice, creating a professional, welcoming, and highly attentive environmentManage client flow, including check-in/check-out and overall front desk operationsRespond to client calls, emails, and inquiries with professionalism, accuracy, and timelinessPrepare clients for appointments, including intake completion and accurate EMR documentationManage scheduling, data entry, and document handlingMaintain accurate and up-to-date client records across systemsMaintain a clean, organized, and elevated physical space Administrative ResponsibilitiesRespond to Google reviewsUpdate Constant Contact with patient emailsOrganize and distribute monthly clinic newsletterSupport day-to-day operations to ensure efficiency and organization Insurance & Billing Support (Training Provided)Submit insurance claims accurately and in a timely mannerAssist with claim follow-up and resolution of insurance matters as neededMaintain accurate patient demographic and insurance informationCommunicate financial policies and responsibilities clearly and professionallyUphold strict patient confidentiality and HIPAA compliance Team CollaborationWork closely with providers and administrative teams to ensure a seamless client experienceContribute to a culture of professionalism, accountability, and high standardsQualificationsExceptional customer service skills with strong verbal and written communicationAbility to manage multiple priorities with poise and attention to detailProactive, self-motivated, and solutions-oriented mindsetStrong listening skills with a genuine commitment to client careProficient with Microsoft Office; EMR systems a bonus2+ years experience in healthcare, wellness, or hospitality preferredBenefitsA professional, team-oriented environment committed to excellenceOpportunities for continued learning, skill development, and advancement within a high-standard, concierge care settingConsistent scheduling that supports work-life balanceThe opportunity to contribute meaningfully to a best-in-class client experienceThis description reflects the general scope of the position and is not intended to be all-inclusive.
