DescriptionThe Medical Office Assistant (MOA) provides direct clinical and administrative support under the supervision of licensed providers and site leadership. This role supports patient care delivery, maintains accurate health records, and ensures a respectful, safe, and efficient patient experience in compliance with DFCC’s policies and regulatory standards.Essential Job DutiesPatient Care & Clinical SupportAssist providers with patient visits, including preparing exam rooms and supporting patient flowObtain and document vital signs and patient health information in the EHRPerform venipuncture and specimen collection in accordance with training and policyProcess laboratory orders, track results, and report abnormalities to providersConduct waived testing and quality control procedures per clinical protocolsProvide patient education materials and administer screenings (e.g., depression, PreP- related, tobacco use)Follow infection control standards, OSHA guidelines, and universal precautionsPatient Experience & CommunicationDeliver courteous, culturally respectful, and professional patient interactionsFacilitate communication between patients, providers, and care teamsConduct appointment reminder calls and no-show outreach per policyAssist with referrals and coordination of specialty care when directedDocumentation, Compliance & Health ITAccurately document patient encounters in the electronic health recordMaintain confidentiality and comply with HIPAA and patient rights regulationsHandle electronic protected health information (ePHI) securelySupport accurate chart management, record retrieval, scanning, and filingFront Desk & Administrative Support (as assigned)Verify patient demographics, insurance, and PCP information each visitSupport scheduling workflows and patient portal enrollmentMaintain organized medical records and appointment systemsOperational & Team ResponsibilitiesMonitor exam room supplies and request replenishment as neededReport equipment concerns or malfunctions promptlyCollaborate effectively with interdisciplinary care teamsFollow organizational policies, professional conduct standards, and attendance requirementsNon-Essential DutiesAssisting with community outreach or special clinic initiativesSupporting training activities, meetings, or in-service programsAdditional administrative or clerical tasks as assignedRequirementsHigh School Diploma or equivalent requiredCertificate from an accredited Medical Assistant or Medical Office Assistant program requiredCurrent BLS certification (American Heart Association) requiredMinimum 1 year of experience preferred; ambulatory care experience a plusProficiency in EHR systems and data entryStrong organizational, communication, and customer service skillsAbility to work independently and as part of a teamFluency in English required; Spanish bilingual preferredPhysical & Work RequirementsReasonable accommodations may be made to enable qualified individuals with disabilities to perform essential functionAbility to stand, walk, and move throughout a clinical environment for extended periodsAbility to lift up to 20 pounds and handle medical supplies or equipmentAbility to perform fine motor tasks such as data entry and specimen handlingAbility to communicate effectively in person, by phone, and electronically
