The Role
The Project Administrator role is a project controls administrative function that reports to the BIS VP of Strategic Projects. This role is responsible for supporting the team through handling administrative tasks, coordinating project activities, and ensuring effective communication as well as managing the reporting of project data. The Project Administrator will also assist in facilitating needs between team members, executives, and external parties such as suppliers, and customers as well as manage and monitor the PM system.
Points of responsibility include:
Prepare and maintain project documentation, reports, and presentations
Facilitating Data Analysis/information distribution
Maintain organized project files and records
Process invoices, purchase orders, etc.
Ensure all project documents are properly filed and accessible
Assist in creation and management of documentation for processes and procedures
Manage and maintain PM software
Serve as the primary point of contact for project-related inquiries related to PM software
Attend project meetings, publish notes, manage action item tracking, etc.
Communicate effectively with project team members and other relevant parties. This includes defining communication protocols, assisting in project meetings when necessary, and providing timely updates on project data
Maintain and monitor progress tracking within a project
Schedule and coordinate meetings, appointments, and travel arrangements.
Ensure project deliverables meet quality standards and client expectations
Provide administrative support to project teams, including document management, meeting coordination, and communication
Support correspondence to customers
Coordinate activities with other departments as needed

Required Skills/Qualifications
Minimum 3 years of relevant experience
Experience in an engineering firm, project management firm, and/or construction related firm.
Proven experience in administration, or related roles
Proficiency in PM software such as Microsoft Project, Excel, Word, or similar tools
Strong analytical skills
Excellent organizational skills and attention to detail
Effective communication and interpersonal skills, with the ability to collaborate with diverse teams
Ability to prioritize tasks and manage multiple projects simultaneously
Ability to work independently and as part of a team
Seeks to resolve tasks or issues independently and finds solutions prior to involving management
Bachelor’s degree in business administration, or related field
Proven experience as a Project Administrator or similar role
Knowledge of project management methodologies and best practices are a plus
Demonstratable ability to politely but persistently follow up
Excellent verbal and written communication skill
Excellent organization and time management skills
Master of planning your day and prioritizing daily task lists
Ability to rapidly resolve issues and recognize when to escalate
Ability to keep calm and cool in a crisis
Operate with a speed of urgency
Ability to manage multiple priorities in a fast-paced environment
Handle sensitive information with the utmost confidentiality and discretion
Professional demeanor and the ability to maintain confidentiality
Maintain a high level of professionalism in all interactions
High level of proficiency w/ MS Office skills, including Outlook, Excel, PowerPoint, Word, SharePoint, OneNote
Typing speed in excess of 50 WPM
Knowledge of Microsoft Project and Procore are a plus
Physical Requirements
Ability to work in an open office environment - open floor plan office with high levels of collaboration without private offices.
