Operations Manager - RIA
A multi Family Office is seeking a Senior Level Operations Candidate to serve as a strategic right hand to the COO. This role is ideal for someone who thrives in fast-paced environments, enjoys owning mission-critical operational processes, and can independently drive projects across Middel office operations, reporting,and infrastructure initiatives.The ideal candidate combines strong middle office expertise with a proactive, solutions-oriented mindset and the ability to execute with precision.ResponsibilitiesOversee daily operational workflows related to trade support, reconciliations, reporting validation, and operational controlsManage trade verification and settlement processes across custodians, brokers, and internal systemsInvestigate and resolve operational exceptions including failed trades, reconciliation breaks, and booking discrepanciesSupport lifecycle events including corporate actions, dividend and interest validation, and transaction clean-upServe as a key operational liaison with custodians, brokers, and external vendorsLead daily, weekly, and monthly reconciliations across cash, positions, transactions, AUM, and reporting dataAnalyze and resolve reconciliation variances while maintaining strong documentation and audit trailsEnsure operational workflows adhere to internal controls and documented proceduresSupport operational reporting accuracy across portfolio management, client service, finance, and compliance teamsAssist in maintaining and enhancing systems including Addepar and Practifi/SalesforcePartner directly with the COO on operational initiatives, infrastructure enhancements, and process improvement projectsCreate procedures, SOPs, and operational documentation to support long-term scalabilityPrepare presentations, analysis, and leadership reporting materialsSupport management fee billing processes including validation of fee schedules, AUM calculations, and invoice reviewAssist with operational finance routines including cash flow tracking, budget monitoring support, and vendor coordinationPartner with finance and client service teams to resolve billing inquiries and reporting discrepanciesThe Ideal Candidate5+ years of experience within investment operations, middle office, RIA operations, asset management operations, or a similar financial services environmentStrong understanding of the trade lifecycle, reconciliations, operational controls, and exception managementAdvanced Excel skills with the ability to analyze and reconcile large datasetsExperience working with custodians, portfolio accounting systems, and investment reporting platformsProven ability to manage multiple high-priority deadlines with exceptional accuracy and attention to detailStrong analytical, troubleshooting, and problem-solving capabilitiesHighly organized, process-driven, and execution-orientedComfortable operating as a trusted partner to senior leadershipExperience with Addepar and/or Practifi is strongly preferredFluency in English and Portuguese and or Spanish Bachelor’s degree required
