Our continued success relies on hiring extraordinary talent with a passion for making a difference and a willingness to roll up their sleeves to help us write the story of our next 100 years.Your OpportunityThe Herff Jones Cap & Gown team in Arcola, Illinois is seeking a cross-trained Customer Service Support / Order Entry Associate to join our team.This role supports the processing and fulfillment of customer apparel orders by reviewing, entering, verifying, updating, and correcting order details and manufacturing paperwork to ensure complete and accurate production execution. This position also provides operational support through administrative coordination, documentation handling, internal communication, and cross-functional team assistance.This is an excellent opportunity for someone who enjoys detail-oriented work, multitasking, and supporting both customer-facing and operational functions within a collaborative team environment.Here's How You Will Make an ImpactReporting to the Customer Service Supervisor, you will:Review, enter, and process customer orders received from individual customers, sales professionals, and bookstores in accordance with company policies and product guidelinesVerify order accuracy by comparing submitted paperwork against system records, checklists, tracking sheets, price forms, and internal databasesUpdate and correct order details to ensure complete and accurate manufacturing instructionsCommunicate with Customer Service, Sales Professionals, and internal departments to resolve missing information or order discrepanciesAssist with customer deposits, credit card processing, and tax-exempt documentation as neededSupport scanning, filing, organizing paperwork, and handling internal/external mailingsAssist with stock inventory, collateral order fulfillment, and office supply organizationLearn cross-functional responsibilities to support team coverage during vacations, absences, and peak workload periodsMaintain a high level of accuracy, urgency, professionalism, and teamwork in a fast-paced seasonal production environmentWhat You Will Bring to the TableHigh School diploma or equivalent required; Associate degree preferred1+ year of customer service, administrative support, order entry, or data entry experience preferredStrong computer skills, including Microsoft Office (especially Excel) and comfort learning new systemsExcellent attention to detail and organizational skillsAbility to manage multiple tasks and deadlines simultaneouslyStrong written and verbal communication skills with professionalism and careEffective problem-solving skills and ability to remain composed under pressurePositive attitude, adaptability, and willingness to learn cross-functional responsibilitiesCommitment to accuracy, teamwork, and delivering excellent internal and external servicePhysical ActivitiesDaily activity includes but is not limited to:Lifting, carrying, sitting, grasping, reaching, standing, kneeling, walking, bending, and twistingProlonged periods sitting at a desk and working on a computerReading, communication, and simple mathRegular lifting/moving up to 25 lbsNoise level in the work environment is usually moderate to above moderate
