CX Administrative Assistant

Essential Functions: Manage incoming phone calls, emails, and general correspondence Greet visitors and provide professional front-desk support Schedule meetings, appointments, and maintain office calendars Prepare and edit documents, reports, spreadsheets, and presentations Organize and maintain digital and physical filing systems Coordinate office supplies, vendor communications, and maintenance requests Provide administrative support to management, including special projects Take meeting minutes and distribute follow-up communications Maintain a clean, organized, and professional office environment Responsibilities Knowledge & Skills : Excellent written and verbal communication skills Strong organizational, multitasking, and time-management abilities Proficiency in Microsoft Office (Word, Excel, PowerPoint) or Google Workspace Ability to maintain confidentiality and handle sensitive information Professional demeanor with a strong customer service mindset Ability to work independently and collaboratively as part of a team Experience with scheduling software and/or CRM systems preferred Basic bookkeeping or data-entry experience a plus Familiarity with standard office equipment (printers, scanners, phone systems) Qualifications Education and Experience: High school diploma required; associate or bachelor’s degree preferred 1–3 years of administrative or office support experience Work Environment & Physical Requirements: This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, scanners, and fax machines. Position requires incumbent to see, read, hear, speak, reach, bend, sit/stand for prolonged periods of time at a desk and working on a computer. Ability to work weekends and holidays as needed.
