Office Operations Coordinator
You in This Role You are the person who makes sure our facilities run smoothly, stay organized, and feel professional, welcoming, and fully stocked.
You don’t wait to be told what needs to be done, you see it, you own it, and you fix it.
You will support all Unusual Machines locations in Orlando, ensuring supplies are stocked, vendors are managed, contractors are doing their jobs, mail is handled efficiently, and company events and travel needs are coordinated seamlessly.

A Day in the Life
On any given day, you might:
Drive to multiple Unusual Machines facilities to check inventory levels
Restock breakrooms, bathrooms, and office supply areas
Meet with a cleaning vendor to review service quality
Receive and distribute mail and Amazon deliveries
Assist with new hire orientation setup
Help coordinate a company event or celebration
Research new vendors for better pricing or service
Book travel for employees or executives
Create inventory tracking spreadsheets in Excel
Make recommendations to improve organization or efficiency

What You’ll Do
Facilities & Inventory Management
Maintain supply inventory across all Unusual Machines facilities
Monitor and restock:
Breakroom supplies
Office supplies
Bathroom supplies
Create and maintain organized inventory lists for each location
Identify reorder needs and coordinate purchasing
Ensure facilities remain clean, organized, and functional
Vendor & Contractor Oversight
Coordinate with cleaning services, catering, maintenance vendors, and other service providers
Monitor contractor performance to ensure work is completed properly
Research and source new vendors when needed
Make recommendations for cost savings or improved service
Mail & Logistics
Receive, open, and distribute mail and deliveries
Manage Amazon and supply deliveries
Ensure packages are routed properly and efficiently
Travel & Administrative Support
Assist with booking flights and hotels
Help manage corporate hotel relationships
Create basic travel itineraries as needed
Support light administrative needs for leadership when required
Events & Culture Support
Assist with:
Career fairs
New hire orientation setup
Company parties and events
Celebrating employee milestones
Help ensure offices reflect UMAC’s culture and professionalism
What You Bring (Must-Haves)
Prior experience in office management, facilities coordination, or corporate/warehouse support
Strong computer skills (Excel, Word, PowerPoint)
Exceptional organizational skills
Ability to multitask in a fast-paced environment
Strong research skills (finding vendors, comparing pricing, sourcing solutions)
A proactive, “figure it out” mindset
Positive, solution-oriented attitude
Reliable transportation (you will travel between facilities)
Ability to lift and carry supplies as needed
Nice to Have
Experience supporting multiple locations
Experience managing vendor relationships
Experience with travel coordination
Basic budgeting or purchasing exposure
Event coordination experience
