Ensure our filings, tariffs, and discovery responses are delivered accurately, on time, and in full compliance with regulatory agency requirements. If you enjoy combining organization, project coordination, and collaboration this is an opportunity to make a meaningful impact!Open to filling the role in Portland, OR or Salt Lake City, UT.ResponsibilitiesWork directly with Regulation staff to make filings with state commissions, including production and shipment of filings; ensure compliance with regulatory rules and accuracy of recordkeeping. Proofread documents and format exhibits from a variety of sources. Coordinate distribution of data requests and responses including maintaining database on company intranet site.Independently maintain retail tariffs for the six states, including managing revisions, publication on the website, and archiving.Maintain and develop effective internal and external relationships with a range of partners, vendors and stakeholders in order to successfully manage projects. Advise management regarding departmental operations, and inform management of deviations from established processes or schedules which may impact business outcomes. Maintain system administration and maintenance of various programs including: adding /terminating users; uploading files; etc. Maintain confidential records, and retain according to company policies. Coordinate with state commission staff as required on implementation of shared-workspace portals for electronic delivery distribution of data responses.Assist with planning, coordinating and facilitating major projects. Respond to internal and external questions, communicating and interpreting policies and practices.Research regulatory filing information for regulatory affairs group. Assist with documenting regulatory filing compliance due dates on the company’s compliance management system.Recommend alternative processes and practices to develop efficiencies. Maintain data response procedure manual and ensure they reflect current state rules and requirements related to discovery and cross-train other department personnel on discovery processes.Assist with maintenance of regulatory filing procedure manuals and assist with training other department personnelRequirementsHigh School Diploma or the equivalent combination of education and experience.A minimum of five years of administrative experience including project and document management, or related areas.Proficient use of personal computers including spreadsheet, database, word processing, and presentation applications to compile, maintain, and present information.Communication and interpersonal skills including the ability to work with all organizational levels as a team member, to ensure that key information on schedules, requirements, and resources is communicated to management in a clear and timely manner.Ability to communicate and interact with individuals in all levels of the organization, industry and community.Demonstrated initiative, problem-solving skills and follow through on commitments. Knowledge of company and departmental policies, procedures, practices as well as applicable state laws and regulations preferred.Ability to lead projects and oversee work of less experienced coordinators.Competency in working within a rapid turn-around operation while maintaining strong attention to detail.PreferencesFull understanding of regulatory processes.
