This individual will serve as a trusted partner responsible for managing complex schedules, coordinating executive communications, and ensuring the leadership team operates efficiently and effectively.The ideal candidate thrives in a fast-paced environment, anticipates needs before they arise, and maintains the highest levels of professionalism and confidentiality. This role requires exceptional attention to detail, strong judgment, and the ability to manage multiple priorities simultaneously.Key ResponsibilitiesExecutive SupportManage complex executive calendars, prioritizing meetings and ensuring optimal time management for the CEO and leadership teamCoordinate internal and external meetings, including preparation of agendas, materials, and follow-upsHandle confidential communications and sensitive information with discretionManage executive travel arrangements including logistics, itineraries, and expense reportingLeadership Team CoordinationProvide administrative support to the executive leadership team including scheduling, documentation, and meeting coordinationOrganize leadership meetings, offsites, and company eventsTrack key action items and follow-ups from executive meetingsOperational SupportPrepare presentations, reports, and briefing materials for executive meetings and board interactionsAssist with planning and coordination of leadership initiatives and strategic projectsMaintain organizational systems for documents, records, and communicationsCommunication & Stakeholder ManagementServe as a primary point of contact for executive office inquiriesCoordinate communication across internal departments and external partnersEnsure timely follow-up on executive prioritiesOffice & Event CoordinationSupport planning of company leadership events, board meetings, and key stakeholder visitsAssist with logistics for company-wide initiatives and leadership communicationsQualificationsRequired3+ years of experience supporting senior executives or C-suite leadersExceptional organizational and time management skillsStrong written and verbal communication abilitiesAbility to manage confidential information with discretionHigh proficiency with Microsoft Office / Google Workspace toolsPreferredExperience supporting multiple executives in a fast-paced environmentExperience working with executive leadership teams or boardsExperience coordinating company events or leadership offsitesKey CompetenciesProactive problem-solvingStrong judgment and discretionExecutive presence and professionalismAbility to prioritize competing demandsHigh attention to detailCompensation: $68,000-$78,000/yearCompensation is based on a variety of factors including skills, experience and industry background.
