Operations Assistant

Job Overview The Operations Assistant plays a critical support role in the day-to-day operations of our precision aerospace machine shop. This position bridges shop floor management and administrative functions, requiring a candidate who is equally comfortable on the production floor and at a desk. The successful candidate will assist the General Manager in overseeing CNC operations, managing shipping and receiving, administering customer purchase orders, and procuring tooling and supplies—while maintaining the accuracy and traceability standards required by aerospace quality systems. Responsibilities Shop Floor Support & Operations Assist the General Manager in supervising daily shop floor activities to ensure on-time production and quality compliance. Monitor workflow and job routing to maximize CNC machine utilization and meet customer delivery requirements. Coordinate with machinists and quality personnel to resolve in-process issues and maintain production flow. Support first article and in-process inspection activities in alignment with AS9100 or applicable quality standards. Enforce shop safety policies and maintain a clean, organized work environment consistent with 5S standards. Shipping & Receiving Oversee daily shipping and receiving operations, including packing, labeling, and documentation for aerospace part shipments. Verify inbound material against purchase orders and certifications; flag any discrepancies for review. Coordinate with freight carriers and logistics providers to ensure accurate, on-time deliveries. Maintain accurate shipping records, packing lists, certificates of conformance, and related documentation. Purchase Order & Customer Order Management Enter and process customer purchase orders accurately into the ERP/MRP system with attention to part numbers, revisions, quantities, and delivery dates. Review customer drawings, specifications, and contract requirements at the time of order entry. Communicate order status, changes, and delivery updates to customers in a professional and timely manner. Maintain organized customer files and correspondence in accordance with document control procedures. Tooling & Supply Procurement Identify tooling, consumables, and supply needs in coordination with machinists and the General Manager. Source and obtain quotes from approved vendors; submit purchase requisitions for approval. Track open purchase orders through receipt and confirm deliveries against order requirements. Maintain adequate inventory levels of cutting tools, inserts, coolants, and shop supplies to prevent production disruptions. Evaluate vendor performance and identify opportunities for cost savings without compromising quality. Qualifications and Requirements Required 5+ years of experience in a precision machining or aerospace manufacturing environment. Demonstrated hands-on experience operating CNC turning centers (Fanuc controls). Ability to read and interpret engineering drawings, GD&T, and technical specifications. Experience with purchase order processing, shipping documentation, and/or inventory management. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) Strong organizational skills with high attention to detail and accuracy. Effective written and verbal communication skills. Preferred Associate's degree or vocational/technical certification in machining, manufacturing technology, or a related field. Familiarity with AS9100 Rev D quality management system requirements. Experience with ITAR-controlled parts or defense/aerospace supply chain. Prior supervisory or lead machinist experience. Knowledge of multi-axis turning and live tooling operations. This position is performed in an active machine shop environment. The employee will regularly be exposed to machinery, metalworking fluids, and noise typical of CNC manufacturing operations.
