Project Coordinator — Project Management OfficeIndustry: Financial Services Level: Entry-Level (1–3 years experience)Position SummaryWe are seeking a detail-oriented Project Coordinator to join the Project Management Office of an established financial services organization. This entry-level role provides foundational coordination support across a portfolio of digital enablement and technology initiatives, working alongside experienced project managers to ensure consistent execution standards across multiple concurrent engagements.The Project Coordinator is responsible for organizing and maintaining project artifacts, scheduling activities, tracking deliverables, and serving as a central point of coordination between project teams, stakeholders, and leadership. This is an ideal opportunity for someone early in their career who is eager to build a foundation in project management methodologies and grow into more advanced PM roles over time.The right candidate brings strong organizational instincts, meticulous attention to detail, advanced Microsoft Office proficiency, and genuine curiosity about the discipline of project management.Key ResponsibilitiesProject Coordination & DocumentationSupport multiple project managers by maintaining artifacts, schedules, and documentation across 5–10 concurrent projectsMaintain centralized project repositories in SharePoint, ensuring proper organization and version controlHelp maintain PMO standards by ensuring adherence to established templates, naming conventions, and documentation requirementsOrganize and archive project materials upon completion, supporting knowledge transfer and lessons learnedSchedule & Workplan ManagementMaintain project workplans in SmartSheet, Microsoft Project, and/or Planner by updating task status, timelines, and resource assignmentsTrack deliverables, milestones, and dependencies to ensure nothing falls through the cracksMonitor task completion and send proactive reminders regarding upcoming deadlinesMeeting & Communication SupportSchedule and coordinate project meetings, prepare agendas, distribute materials, and document minutes and action itemsFacilitate information flow between project managers, stakeholders, and team membersPrepare routine status reports, dashboards, and executive summariesRisk, Issue & Change TrackingDocument risks and issues raised in project meetings and follow up on resolutionSupport change request processes by capturing requested changes and tracking approvals through workflowVendor & Stakeholder CoordinationCoordinate with vendors and third parties on scheduling, deliverable submissions, and documentationAssist with onboarding new project team members by providing access to materials and orienting them to project statusPMO Continuous ImprovementParticipate in PMO improvement initiatives by identifying opportunities to streamline processes, tools, and templatesAll other duties as assignedRequired QualificationsBachelor's degree (required)1–3 years of experience in project coordination, business analysis, or related project support rolesAdvanced proficiency with Microsoft Office, particularly Excel (formulas, pivot tables, data analysis), PowerPoint, and WordExcellent written and verbal communication skills with the ability to interact professionally across all organizational levelsStrong organizational skills with the ability to track complex information across multiple workstreamsDemonstrated ability to manage competing priorities while maintaining accuracy and attention to detailSelf-motivated, curious learner with interest in project management methodologies and best practicesComfortable working both independently and collaborativelyAbility to maintain confidentiality and handle sensitive information appropriatelyPreferred QualificationsAspiration to pursue Project Management Professional (PMP) certificationExperience in banking, financial services, or service-based industriesHands-on experience with Microsoft Project, Planner, and/or SmartSheetExperience with SharePoint for document management and team collaborationFamiliarity with Microsoft Teams for collaboration and meeting facilitationWork EnvironmentPrimarily office-based with occasional travel to other locations as neededOccasional on-call availability for urgent project needsExtended periods of computer use and seated workReasonable accommodations available to enable individuals with disabilities to perform essential functions
