Position Summary The Grant Manager is responsible for driving mission‑aligned institutional revenue that fuels Project Sanctuary’s growth and long‑term impact for military families. This role leads grant strategy, proposal development, and award management while ensuring compliance and strong funder relationships. By translating program outcomes and family‑centered impact into clear, data‑informed narratives, the Grant Manager supports sustainable expansion and organizational resilience. Responsibilities Lead the full lifecycle of grant prospecting, writing, and compliance, including researching and qualifying opportunities, developing compelling LOIs and proposals, and ensuring all submissions and reports meet funder requirements and deadlines. Execute an aggressive grant‑driven fundraising strategy with the CDO and Development Team to increase annual revenue, diversify funding, and maintain a strong pipeline of national foundation and corporate prospects. Translate program frameworks and organizational impact into persuasive narratives, producing high‑quality proposals, logic models, and supporting materials that clearly articulate mission, need, and outcomes. Research, cultivate, and steward institutional and community funders, maintaining regular touchpoints, participating in meetings and events, and producing impact reports to strengthen long‑term relationships. Maintain accurate grant tracking systems and internal spreadsheets, monitoring deadlines, award status, and revenue projections to support budgeting and leadership decision‑making. Document and refine grant processes and procedures, including prospect research, deadline tracking, prioritization, acknowledgements, and outcome reporting. Prepare timely, accurate grant reports aligned with funder cycles and audit standards, ensuring full compliance with award terms and internal policies. Collaborate with internal teams, including participating in staff meetings and working closely with the Marketing Director to develop narratives and materials that enhance funder engagement. Produce monthly executive grant reports for leadership and board review, summarizing progress, projections, and key activities. Support the Chief Development & Marketing Officer by preparing proposals, briefs, data pulls, program summaries, and other materials as assigned. Represent Project Sanctuary at funder meetings and community events to support visibility and stewardship. Contribute to Development Team initiatives and perform additional duties as assigned. Educational Requirements Minimum: Bachelor's degree in Public Administration, Nonprofit Management, Business, Social Sciences, Communications, or related field, or equivalent combination of education and experience. Preferred: Master’s degree or advanced training in grant writing, nonprofit leadership, or public administration Prior Experience Experience managing federal, state, local, and private grants, including interpreting NOFOs/RFPs and preparing compliant proposals and budgets. Proven success writing competitive grants and managing the full grant lifecycle. Experience collaborating with program, finance, and development teams to align data and reporting. Familiarity with CRM systems (Salesforce, DonorSnap), Microsoft Office Suite, and grant prospecting tools (Instrumentl). Experience working with or supporting military, veteran, or first-responder communities is valued Skills Requirements Exceptional attention to detail and accuracy in both narrative and compliance work. Strong time‑management skills with the ability to meet multiple deadlines under pressure. Excellent interpersonal and collaborative skills; able to work with staff at all levels. Highly organized, professional, motivated, and committed to continuous learning. Deep commitment to supporting military and first responder families and understanding their unique needs. Proficiency with Excel, Word, PowerPoint, Outlook, Adobe, Teams, Salesforce, DonorSnap, Instrumentl, and Grammarly. Strong understanding of Uniform Guidance and funder‑specific compliance requirements. Ability to interpret complex NOFOs, develop budgets, and manage grant documentation. Superior writing, editing, and research skills. Physical Requirements Ability to communicate clearly via phone, virtual platforms (Teams), and in person. Standard office or remote‑office environment with extended computer use. No additional physical demands beyond typical administrative work. Compliance Requirements Ensure compliance with all applicable federal, state, and local grant regulations and reporting requirements. Maintain accurate, audit‑ready documentation and follow internal policies and data‑security standards. Required background check; ongoing compliance training as needed. Handles confidential and sensitive information, including PII stored in Salesforce.
