Intellectual Property Docket Supervisor

Key ResponsibilitiesSupervise and support a team of intellectual property docket specialists, overseeing daily docketing operations within intellectual property law practices.Review, docket, and distribute incoming U.S. and international patent, trademark, and copyright correspondence and filings.Maintain precise and up-to-date docket records, ensuring all deadlines, filings, and correspondence are properly recorded, tracked, and managed.Oversee the maintenance, audits, and quality control measures of docketing systems; develop and implement standardized procedures to ensure operational consistency.Serve as the primary liaison between attorneys, docketing staff, and external vendors, utilizing docket management platforms such as AltLegal, Anaqua, Foundation IP, and other IP docketing software.Generate and analyze daily, weekly, monthly, and ad-hoc docket reports to facilitate proactive monitoring and compliance.Process incoming and outgoing file transfers; review daily dockets to confirm upcoming deadlines are accurately captured and met.Assist with quality assurance activities by reviewing, verifying, and correcting docket entries made by team members to maintain high data integrity and compliance standards.Core Qualifications & Requirements4+ years of patent and trademark prosecution docketing experience in a legal or intellectual property environment.Minimum of 2 years in a supervisory or team leadership role within docketing or legal administrative functions.Extensive knowledge of USPTO and IP prosecution systems including eTEAS, TARR, SAEGIS, PAIR, TESS, TSDR, TTAB, and related platforms.Hands-on experience with intellectual property docketing software, such as AltLegal, Anaqua, Foundation IP, and IP management workflows.Proficiency with iManage FileSite, Microsoft Excel, and other legal document management systems.Exceptional organizational skills, with strong attention to detail, accuracy, and data integrity.Ability to manage multiple priorities efficiently under tight deadlines and high-pressure situations.Excellent written and verbal communication skills, with the ability to collaborate effectively across legal teams and external vendors.Team-oriented with a strong ability to work independently and proactively identify process improvements.The Phoenix Group Advisors is an equal opportunity employer.
