Location: In-Office Hours: Monday - Thursday, 10:00 AM - 5:00 PM Pay: $13.50 per hour Overview: We are seeking a proactive, organized, and reliable Program Support Coordinator / Office Assistant to join our team. In this role, you will be responsible for supporting our mental health programs while managing key office responsibilities. You will work directly with clients and therapists to ensure smooth service delivery, as well as perform general office tasks that keep our operations running efficiently. Key Responsibilities:Program Support: Client Intake and Onboarding: Manage the intake process for new clients, ensuring all necessary information is collected and tracked. Follow up with clients to ensure successful onboarding and timely completion of paperwork. Collaborate with the team to ensure smooth client onboarding experiences. Client Support and Retention: Follow up on missed appointments, reschedule as needed, and address client concerns. Work closely with therapists and clients to resolve scheduling conflicts and ensure high-quality services. Maintain regular communication with clients to ensure their needs are being met and they are satisfied with services. Therapist Support: Assist with new therapist interviews and make hiring recommendations. Provide follow-up calls to newly hired therapists, ensuring they are settling in and receiving the necessary resources and support. Assist therapists with any conflicts or issues and provide the resources they need to succeed. Collaboration and Communication: Collaborate with staff, volunteers, and external partners to ensure seamless service delivery. Report any intake or onboarding issues to the team and the Support Team Manager. Office Responsibilities: Administrative Support: Answer phones, respond to emails, and assist with general office inquiries. Maintain office supplies, ensuring the office is stocked and organized. Help schedule meetings and manage calendars for team members. Filing and Documentation: Organize and maintain client records, both physical and digital, ensuring confidentiality and HIPAA compliance. Assist in preparing documents, reports, and presentations as needed. Customer Service: Greet clients and visitors, ensuring a welcoming and professional office atmosphere. Handle client requests and direct them to the appropriate staff members. Skills and Qualifications: Strong Organizational and Time Management Skills: Ability to handle multiple tasks efficiently and prioritize responsibilities. Excellent Communication Skills: Strong verbal and written communication skills for interacting with clients, therapists, and team members. Customer Service Experience: Experience providing customer service, especially in a mental health or office environment. Tech-Savvy: Competence in using office software, client management systems, and communication tools. Attention to Detail: Capable of handling administrative tasks accurately and efficiently. Ability to Work Independently: Demonstrates initiative and works proactively with minimal supervision. Compliance with HIPAA: Must adhere to HIPAA regulations and maintain confidentiality. Team Player: Ability to work well with staff, volunteers, and external partners.
