JOB DESCRIPTION: Arbor Crest Wine Cellars is seeking a Venue Sales Manager for our private, public, and special events programs. We are looking for an individual who is bright, friendly, and can think quickly on their feet! To succeed in this role, strong sales, organizational, customer service, and management skills are required. As the Venue Sales Manager you will be responsible for all private, public, and special event sales and program management. Prior event or hospitality experience is highly preferred for this position.
RESPONSIBILITIES include but are not limited to:
Overall Event Program Management
Full life cycle of program sales and management. Including: preparing proposals, leading tours, closing sales, event planning, coordinating with vendors and catering on event logistics, day-of event coordination and event implementation, and post event follow-up.
Responding to all email and phone inquiries in a timely manner.
Managing appointment bookings and event calendar.
Balancing and coordinating all event contracts and payments.
Implementing organizational procedures and systems for pre and post events, for a seamless client experience.
Fostering strong relationships through networking with local businesses to drive repeat and new event business each season.
Developing and monitoring the program budget to meet the goals and needs of the program and company. Including: managing revenue and expenses, as well as analyzing cost effectiveness.
Overseeing and maintaining marketing pieces, including printed event packet/materials, web exposure, and social media presence.
Establishing and implementing protocol and expectations for vendors.
Event Planning and Logistics
Event planning with clients. Including: timeline preparation, discussing event setup and details, wine and beer selections, and ceremony coordination.
Managing day-of event and post event procedures. Including: creating event orders and tasks for each staffing group.
Directing the overall operation and service delivery of the private event program. Including: responsibility for all event logistics prior to, during, and after an event.
Ensuring the Arbor Crest grounds and facilities are in pristine condition and addressing immediate needs and operational improvements.
Employee Management
Managing event staff. Including: interviewing, training, scheduling and day-of event management.
Establishing and implementing protocol and expectations for private event employees.
Maintaining a healthy work environment. When necessary, resolving interpersonal conflicts between employees.
Day-of Event Management and Coordination
Assisting with event setups and breakdowns.
Providing Tasting Room and bar assistance when needed.
Managing event timelines.
Directing wedding rehearsals.
Coordinate wedding ceremonies and reception entrances.
Event point of contact for guests, vendors, and staffing groups.
Managing client's beverage budgets.
Ensuring a consistent and professional client and guest experience.
Being aware and proactive of any inclement weather situations.
Additional Responsibilities
Assist with planning and execution of Arbor Crest's quarterly wine club release parties.
Support the events of Arbor Crest's family and friends.
Assist with planning and coordinating private tours for small and large groups.

Demonstrated sales success, preferably in venue sales and/or hospitality

Requirements:
Ability to lift 30 lbs or more lbs.
Ability to stand for extended periods of time.
All applicants must be 21 years of age.
Washington State Liquor Control Board Class 12 MAST Permit (must be obtained within 60 days of hiring)
Washington State Food Workers card (must be obtained within 30 days of hiring)
The Event Planner is a full time year-round position. During event season (May-October) a typical schedule is Tuesday-Saturday, with some night shifts and extended hours. During the non-event season the typical schedule is Monday-Friday, with some Saturdays as needed.
