Job Title: Administrative Assistant Job Description Location: Phoenix, AZ Office Employment Type: Full-Time Reports To: Clerical Supervisor Pay Rate: $20.00 to $22.00 per hour This is an in-office position that will eventually move into a Hybrid role. Blue Star Claims LLC is a Third-Party Administrator specializing in multi-line Claims handling throughout the United States. Administrative Assistants handle administrative responsibilities and support various departments within the Company. The Administrative Assistant will perform the duties outlined below and will work together as a Team. Each Administrative Assistant will back up the other during scheduled time out of the office. Duties will include, but not be limited to: Pickup Incoming Mail and Drop off Outgoing Mail (Phoenix Office) Incoming Mail Scanning Labeling and linking incoming mail scans to claims Handles all requests sent to internal shared email inbox Outgoing EORs Outgoing Checks (makes sure to obtain two signatures on checks over $10K) Outgoing Letters/Notices/Certified Mail Adding charges for outgoing mail expenses to spreadsheet Tracking Returned Checks on spreadsheet Tracking Incoming Checks on spreadsheet Tracking Returned Mail on spreadsheet Emailing Certified Mail Scans to Adjusters Emailing Legal Notices to Adjusters / Legal Department Backup for email requests sent to internal shared email inbox which consists of labeling and uploading various documents into the claim files Backup for incoming fax labeling and linking to claims Perform other duties as assigned Requirements: High school diploma/GED required; 1+ year admin/clerical experience preferred (insurance/claims/TPA a plus). Strong attention to detail and organization for scanning, labeling/linking documents to claims, and maintaining tracking spreadsheets. Proficient with Outlook (shared inbox) and Excel; able to learn claims/document management systems and use scanners/copiers. Professional written/verbal communication; handles sensitive financial/legal documents with confidentiality. Reliable team player able to back up others and manage deadlines in a high-volume environment. On-site Phoenix role; able to lift/move mail bins/boxes (20 lbs.) and perform routine scanning/mail handling tasks.
