Warranty Administrator
Position Title: Warranty Administrator Location of Position: FLSA: Non-Exempt Reports To (Title): General Manager Approved by: Human Resources Date: January 27, 2022 Primary Objective: In broad terms, briefly state the major purpose or primary objective of this position. Responsible for processing, monitoring status, and successful completion of warranty claims with various manufacturers and customers. Major Functions and Scope: Using brief narrative statements, describe each major function or responsibility explaining the scope of the position as appropriate. Primary Responsibilities: • Successfully completes all warranty claims in a timely manner to ensure efficient and effective claims receipt.
Submits all warranty claims within agreed-upon timeframes. • Ensures that parts are included with the claim submission when required, works with Parts Department to ensure accuracy of parts being ordered. • Effectively works with the Service Manager to complete all warranty-related activities. • Ensures that required authorizations are approved when appropriate.
Effectively monitors, communicates status, and resolves outstanding warranty claims. • Follows the processing and payment of all warranty claims in a timely fashion. • Researches and resolves claims not paid in full by the manufacturer, including through management involvement when required. • Regularly reviews the warranty receivables and warranty aging reports with management to keep all warranty claims under 90 days.
Effectively works with other company employees to ensure accurate and timely warranty claims. • Performs other duties as assigned. Knowledge, Skills, and Abilities: • Automotive and/or RV dealership background preferred but not required. • Extensive knowledge of office management procedures.
Excellent verbal and written communication skills. c • Excellent interpersonal and customer service skills. • Excellent organizational skills; good attention to detail. • Excellent time management skills with a proven ability to meet deadlines.
Proficient computer skills with experience using dealer software, Motility, and CP Interact preferred. • Must possess a valid driver license with good driving record Education and Experience Requirements: • High school diploma or equivalent required. • Associates degree in business/office administration or related field preferred. • At least two years of administrative and/or clerical experience required.
Physical Requirements: • Office environment requiring prolonged sitting/standing and working on a computer. • Ability to lift to 15 pounds as necessary.
