Project Coordinator Administrator
Job DescriptionPosition: Project Coordinator AdministratorOverview: We are seeking an experienced and detail-oriented Project Coordinator/Administrator to join our dynamic team in the skincare and beauty industry. The ideal candidate will have a strong background in all aspects of project/product processes, interacting with manufacturing & distribution vendors. This role requires a collaborative mindset to work effectively with senior management and monitor progress throughout the project/product distribution to sales cycle. Manage inventories & interact with fulfillment center.Key Responsibilities:Support the complete project/product process, ensuring timely and efficient execution of tasks. Maintain relationships with vendors and suppliers, negotiate contracts and ensure the timely delivery of necessary materials and servicesInterfacing with manufacturer, fulfillment center, and external vendors. Manage CRM softwareHandle product inventoriesProgress Monitoring: Track and report all phases of product distribution channels, timelines, and key performance indicators (KPIs) for products. Administrative Duties: Perform a range of administrative tasks to support product team, including scheduling meetings, maintaining documentation, and coordinating with external vendors. Communication: Compose professional letters, emails, and other forms of correspondence in English, ensuring clarity and accuracy. Qualifications:Industry Experience: Previous experience in the skincare and beauty industry is highly preferred. Technical Proficiency: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and CRM software. Communication Skills: Excellent written and verbal communication skills in English, with a proven ability to compose professional correspondence. Ability to coordinate effectively with all vendors. Collaborative Mindset: Demonstrated ability to work effectively in a collaborative environment, fostering teamwork and alignment across internal and external areas. Organizational Skills: Exceptional organizational skills with the ability to manage multiple tasks and projects simultaneously. Effectively manage inventories and fulfillment center. Work Environment:Remote PositionPossibility of occasional travel for meetings. Experience: Previous experience in project/product cycle administration or a similar role within the skincare and beauty industry is highly desirable. Skills: Office Suite, CRM software, strong communication and organizational skills. Networking: Develop rapport with external distribution channels and vendors.
