On-site (Detroit, Michigan) | Full-Time | U.S. Work Authorization RequiredPosition SummaryThe Office & Sales Coordinator is responsible for supporting both office operations and the Sales team at Red Boot Beverage. This role ensures the accuracy and efficiency of customer orders, data entry, and administrative processes while helping maintain smooth communication between Sales, Production, Logistics, and Warehouse teams.This position plays an important supporting role in the customer experience by assisting with order processing, invoices, billing documentation, and occasional customer inquiries. In addition, the role manages core office coordination tasks to keep daily operations organized and efficient.ResponsibilitiesTo perform this job successfully, an individual must be able to perform each essential duty satisfactorily, with or without reasonable accommodation, and perform other duties as assigned. Manage daily office operations to ensure an organized, efficient, and professional environment. Greet visitors and provide general administrative support as needed. Coordinate scheduling, meetings, and internal communication for office and Sales teams. Manage office supplies, mail, vendor coordination, and general office needs. Maintain accurate digital and physical filing systems. Prepare basic reports, documents, and presentations as needed. Support the Sales team with order entry, updates, and customer account coordination. Enter and maintain customer orders accurately in ERP or order management systems. Assist with invoices, billing documentation, and customer account records. Maintain customer files, pricing information, and order history. Help ensure accurate and timely communication of order details across internal departments. Perform accurate data entry for customer orders, invoices, and internal tracking systems. Maintain and update customer records and operational databases. Support Accounts Payable and Accounts Receivable functions through basic administrative data entry and organization. Ensure accuracy and consistency across all records and systems. Provide occasional support for customer inquiries related to orders, shipping, or billing. Assist in resolving basic order issues in coordination with Sales and Operations teams. Support communication between Sales, Production, Logistics, and Warehouse teams to ensure smooth order fulfillment. Meets all Good Manufacturing Practice (GMP) and Safe Quality Food (SQF) requirements; participate in food safety meetings as required. Cultivates and promotes a strong safety culture and follows all safety policies, procedures, and regulations; identifies and communicates workplace hazards and corrects or seeks assistance in correcting unsafe actions or conditions; participates in safety meetings as required. Note: This job description is not exhaustive and may evolve over time.QualificationsAssociate’s degree or equivalent combination of education and experience preferred. 2+ years of office administration, sales support, data entry, or customer service experience (manufacturing, beverage, or distribution environment preferred). Strong attention to detail and accuracy in data entry and documentation. Proficiency in Microsoft Office 365 (Excel, Word, Outlook). Experience with ERP or order management systems preferred. Strong communication skills and ability to work cross-functionally. Highly organized with ability to manage multiple priorities in a fast-paced environment. Professional, dependable, and team-oriented attitude. Valid driver’s license required. Work ExpectationsThis is a regular, full-time position with frequent in-person meetings with potential, new and existing customers located throughout their defined sales territory.This position needs to have the ability to be available for work daily and extended hours as necessary. While performing the duties of this job, the employee is regularly required to talk and listen.This position requires long periods sitting/working at a computer, standing, walking, bending, kneeling, stooping, crouching, crawling, and climbing.The employee should be able to lift and/or move items up to 10 pounds and occasionally lift and/or move up to 30 pounds.Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
