In this position, you’ll take ownership of lease administration, tenant billing processes, and system data integrity, helping ensure that lease records, charges, and recoverable expenses are accurate, timely, and properly maintained.As part of a developing, startup-style environment, you’ll work closely with Accounting, Facilities, Property Operations, and leadership while contributing to the continued refinement of workflows and operational processes. This role offers the opportunity to build structure, support portfolio growth, and directly impact revenue accuracy and day-to-day operational stability.You will excel in this role if you are:A highly organized and detail-oriented professional who values accuracy and takes pride in maintaining clean, reliable data and documentationComfortable working in a growing, startup-style environment where processes and workflows continue to evolve, and able to adapt while helping bring structure and consistency to daily operationsSelf-motivated, dependable, and capable of working both independently and collaboratively within a small team settingNaturally process-minded and analytical, with the ability to identify gaps, ask thoughtful questions, and contribute to improving operational workflows over timeProfessional and service-oriented, with strong communication skills and the ability to interact confidently and courteously with tenants, vendors, and internal teamsFlexible and solutions-focused, maintaining a positive, steady approach when priorities shift or new responsibilities emergeA day in the life: Administer lease and tenant records within the property management system, ensuring lease data, charges, and critical dates remain accurate and up to dateExecute recurring billing and revenue workflows, including monthly rent cycles, recoverable expenses, and tenant charge updates in accordance with lease termsReview lease documents, amendments, and related materials to extract relevant information, validate billing structures, and maintain documentation integrityServe as a primary administrative point of contact for tenant inquiries related to leases, billings, and account matters, coordinating with Accounting, Facilities, and management as necessaryMonitor tenant accounts and ledgers for discrepancies or inconsistencies, coordinating adjustments and resolutions with the Controller or Accounting teamCoordinate operational workflows involving tenant requests, vendor documentation, and internal processes, helping ensure activities are tracked and completed accurately and on timeContribute to maintaining organized property, lease, and vendor records while supporting the continued refinement of workflows and procedures within a growing portfolio environmentWhat we are expecting from you:A Bachelor’s degree in Business, Accounting, Finance, Real Estate, or a related field is preferred; equivalent professional experience will be consideredMinimum of two (2) years of relevant experience in lease administration, property administration, billing, property management operations, or a related roleDemonstrated experience working within system-driven workflows, with strong attention to data accuracy, documentation integrity, and detail-sensitive responsibilitiesExperience with property management or lease administration platforms (Yardi Voyager strongly preferred) and proficiency with Microsoft Office applications, particularly Excel and OutlookWorking understanding of lease structures, tenant charge components, and revenue/billing processes within a property or portfolio environmentAbility to interpret lease documents, extract relevant information, and apply established procedures to support billing and operational accuracyStrong organizational and time-management skills, with the ability to manage recurring responsibilities, deadlines, and multiple prioritiesStrong written and verbal communication skills, with the ability to interact professionally and courteously with tenants, vendors, and internal teamsComfort working in a growing, startup-style environment where processes and workflows continue to evolve, and the ability to adapt while maintaining accuracy and consistencyDemonstrated reliability, accountability, and process discipline, with the ability to work independently while adhering to established policies and internal controlsAbility to identify discrepancies, inconsistencies, or data anomalies and escalate appropriatelyNice to have:Experience working within a commercial real estate, property management, or multi-tenant portfolio environmentAdvanced proficiency with Microsoft Excel, including comfort working with formulas, structured datasets, and data validationFamiliarity with document management practices, records control, or compliance-sensitive administrative environmentsExposure to process improvement, workflow development, or system optimization initiativesExperience supporting cross-functional teams in a dynamic or growing business environmentComfort learning new systems, tools, or technologies as operational needs evolvePrior experience working in a small team or startup-style organizationIf you’re looking for a role where your organization, accuracy, and attention to detail directly contribute to the stability and performance of a growing real estate portfolio, we’d love to hear from you.At ClearRealty, we’re building something thoughtful and long-term.
