Position Summary:
This position is responsible for the overall coordination of the student clinical placements for assigned programs and departments as well as coordination of travel course arrangements and administrative support for the Physical Therapy Programs.
Key Responsibilities & Duties:
Develops and maintains positive relationships with current and potential clinical affiliates and agency personnel.
Manages communications and supports the work of clinical placement and Physical Therapy via telephone, mail, e-mail, and prepares written documents and correspondences; composes, edits, and finalizes documents.
Collaborates with course leaders and program directors to arrange clinical placements and clinical placement schedules.
Manages operations (files, filing systems, communications) related to attestation of clinical clearance of students and faculty; ensures timely communication, facilitates access to health services training as necessary; maintains and updates records, communicates compliance concerns.
Manages electronic tracking of course syllabi and schedules for academic courses.
Maintains Clinical Affiliation Agreements with current clinical sites.
Meets with and consults with department chairs and faculty to identify the clinical placements required to meet the learning goals of the programs.
Develops and maintains a system of record related to clinical placements, fieldwork and practica, and preceptors.
Acts as a liaison between faculty and clinical sites educators for issues related to clinical placement and for assuring faculty and student orientation.
Coordinates College sponsored travel courses, including travel arrangements, insurance processing, student forms, and notifications
Facilitates the action of the Travel Course Workgroup.
Supports the academic advising process for the Physical Therapy students.
Supports the work of the Physical Therapy Programs.
Supports, as applicable, Physical Therapy Programs admissions, orientation, registration, and practicum coordination.
Facilitates meetings and appropriate committee activities including scheduling, arrangements, and minute recording.
Generates and maintains the minutes and reports pertinent to academic committee, workgroup, and other forum proceedings.
Plans and facilitates comprehensive file management and activities for the Academic Affairs department.
Produces and organizes student record files in relation to clinical placement.
Participates in self-development activities appropriate to position.
Participates in the College wide efforts related to continuous quality improvement.
Promotes effective and positive working relationships with internal and external customers.
Maintains professional confidentiality in all matters relating to college functions.
Assists with a variety of projects as delegated or as appropriate to the position.
Serves as a member of college committees.
Qualifications:
Experience & Licensures: 3-5 years of prior experience as an administrative assistant or a bachelor's degree in a related field. Experience in an educational setting preferred.
Education : Minimum of a bachelor's degree in a related field
Skill Set :
Ability to work independently and manage multiple tasks and priorities
Strong attention to detail, accuracy and confidentiality
Proficient computer skills in the areas of word processing, design, and utilization of spreadsheets.
Effective interpersonal skills
