As a Client Accounting Clerk, you should be highly organized and capable of managing multiple priorities in a fast-paced environment, with a strong focus on accuracy and deadlines. You will be responsible for processing daily mail, scanning checks, checking individual accounts for deposits and handling requests for reimbursements. You will interact regularly with clients, banking institutions, and internal teams.Key ResponsibilitiesRequests for Reimbursements: Weekly, Bi‐Weekly, Monthly, and Special Requests per Client requirements, using registers provided by IS DepartmentBanking: Check individual accounts for deposits and enter information into client’s monthly spreadsheet or ledger; send positive pay files to banks for applicable clients and review exceptions on banking websites; place stop payments when requested and upon client approvalScanning Checks: Confirm scanning counts of all checks and complete “Check Count Verification Log”Check Distribution: Checks are reviewed for second signature, check pulls, and sent to Clerical for envelope stuffing and mailingProcess Daily Mail: Research returned checks for re‐issue; separate refunds for entry into Pay Management SystemRefund Checks and Voids: Entry into Pay Management System; deposit or return refunds per client specific instructionsSubrogation, SDF, and Excess Recoveries: Place in diary for 10 days, then check AIM System for entry by QA Manager; if entered, recovery is returned or deposited per client specific instructions; if recovery is not entered, an email reminder is sent for review to QA ManagerDaily Registers: Enter check numbers and total amount issued into individual client spreadsheet/ledger for monitoring of account balanceBank Statements: Mail to clients with cancelled checks/CD‐ROM by the 15th of the month; provide supplemental bank reconciliation for applicable clients; enter bank balance into “Bank Statement Balance” spreadsheet, then balance the monthly ledger accordinglyHandle incoming calls from clients, banking institutions, and Davies Claims North America personnelFile correspondence, reimbursement requests, and invoices in individual client filesCreate client spending analysis for funding increases, as necessaryUpdate Pay Department Policy and Procedure manual with changes and new proceduresConvey a positive attitude and teamwork for optimum provision of services to clientsExhibit company values of We are Dynamic, We are Innovative, We are Connected, and We Succeed TogetherPerform other duties as assignedThis role is full-time and you must be able to work onsite in Sarasota, FL.Skills, knowledge & expertiseHigh school diplomaProficiency with Microsoft Office Suite, including Microsoft ExcelFinance or Accounting degree or a combination of education and experienceAccounting or finance certificates preferredBank experience and bank reconciliation processing preferredProficiency with multiple systems including banking sites and proprietary claim system.Proactive, independent, and takes initiative with consistent follow throughSuperb written and verbal communication skills conducted in a timely manner with diverse audiencesSuperior time management skills with capability of working with and meeting deadlinesExceptional capability to multi‐task and prioritize with excellent organization and documentation skills in a fast‐paced, dynamic work environmentExcellent team player with interpersonal skillsHigh level attention to detail and problem‐solving skillsCapable of working collaboratively and independently with minimal supervisionExhibit discretion with sensitive and confidential informationDisplay a comfort level working with key people at all levels within an organizationEqual Employment Opportunity & Legal NoticesBenefitsAt Davies North America, we are dedicated to supporting the well‑being and future of our qualifying employees.
