Overview
We are seeking a highly organized and detail-oriented Project & Administrative Assistant to join our team in the construction industry. This role offers an exciting opportunity to support various administrative functions, manage project-related tasks, and contribute to the smooth operation of our office. The ideal candidate has experience in the construction industry and will possess strong administrative skills, excellent communication abilities, and proficiency in a range of computer applications. Bilingual skills are a plus, as this position involves interacting with diverse clients and team members. This is a paid position suitable for individuals with prior project manager assistant experience and administrative backgrounds who thrive in fast-paced environments.
Duties
Assist with project submittals, new job set up and support.
Assist with trucking logs and field receipts.
Manage front desk responsibilities such as greeting visitors, handling multi-line phone systems, and directing calls with professional phone etiquette.
Provide comprehensive administrative support.
Maintain accurate data entry and filing systems using Microsoft Office, Google Workspace, and other relevant software.
Experience with Builder Trend, ExactTime and Foundation a plus.
Support project coordination by potentially preparing reports, proofreading documents, and assisting with tracking deadlines.
Handle customer service inquiries via phone or email, providing excellent support and support documentation.
Manage office supplies inventory and coordinate procurement to ensure smooth daily operations.
Perform clerical tasks such as photocopying, scanning, faxing, and organizing files.
Support assistant duties could include travel arrangements, correspondence management, and other administrative errands as required .
Qualifications
Experience in construction companies a requirement.
Proven experience in assisting with project management duties and administrative roles with familiarity in customer service.
Strong computer literacy including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry skills.
Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment.
Bilingual abilities are advantageous for communicating with diverse clients and team members.
Exceptional phone etiquette and customer support skills with experience managing multi-line phone systems.
Attention to detail in proofreading documents and managing schedules accurately.
Ability to demonstrate effective time management skills and prioritize tasks effectively.

Pay: $50,000.00 - $60,000.00 per year
