Position Summary
This position is for the Bariatric and Medical Weight Loss Program Clinic.
The Practice Manager is an implementer and is accountable to the Middlesex Health Regional Operations Manager for the practice. Working with MMG Leadership, the Practice Manager has full responsibility, authority and accountability for the performance of the medical practice. Responsibilities of the Practice Manager includes physician relations, communications, management of all non-provider staff (clinical matters will include direction from the responsible provider), budget, practice revenue cycle management, All-Provider meeting agenda and minutes, payroll administration, staff and provider scheduling, physical plant, operations, education and training, supply inventory, quality improvement, etc. Along with this authority comes the responsibility to work collaboratively with MMG Leadership to achieve the overall operational and strategic goals of the Medical Group. The Practice Manager is physically present in the assigned practices for a total of 90% of time worked.
Essential Duties & Responsibilities
Responsibilities
Practices participatory, collaborative practice leadership with MMG Leadership
Develops and maintains positive, cohesive and respectful working relationships with office staff, other managers, practice leadership, and practice providers.
Positively contributes to leadership meetings
Leads monthly office meeting in collaboration with MMG Leadership
Coordinates patient care delivery and day to day operations of the practice
Manages front desk functions to include patient scheduling, registration, financial counseling, medical records, billing and collections, data entry and processing and cash posting
Telephone triage
Patient preparation
Patient education
Nursing procedures
Management of emergencies
Promote excellent customer service by all levels of the staff
Ensures patient satisfaction, including troubleshooting when there is a complaint and developing process improvements to prevent recurrences.
Serves as a role model and consultant for staff, patients and providers
Manages office/clinical staff
Develops, implements, and maintains office policies and procedures Interviews, hires and trains a productive medical office team
Ensures staffing is appropriate and at par levels for day to day operations in all locations
Professional development and mentoring
Supervision
Responsible for employee evaluations, appraisals, and completing performance reviews
Staff scheduling
Coordinates staff meetings for administrative and clinical staff
Coordinates logistics for internal and external meetings and conferences
Maintains providers contracts, tracks PTO, CME and reimbursement for providers
Maintains and manages all filing and organization systems for the practice
Schedules management in collaboration with surgeons/leased providers for professional calendars and surgical calendars
Develops and manages operational and capital budget in collaboration with the Financial Team.
Cost-effectively manages materials and equipment to include ordering of supplies for clinical and administrative operations
Facilities management

Develops, revises, and implements policies and procedures in collaboration with other Middlesex Health Medical Group managers

Maintains office compliance with standards
Collaborates with all QI Teams
Takes leadership role in implementing quality and safety initiatives in the office
Collaborates with health system management community
Attend the monthly health system management meetings
Serve as practice representative on health system committees
Identifies risk managements issues and communicates risk issues to appropriate parties
Assists with special projects
Assists in recruiting clinicians
Minimum Qualifications
Previous management, supervisory or clinic leadership experience
Previous budget management experience
Excellent verbal/written communication skills.
Outstanding interpersonal, collaborative, and customer service skills
Excellent technology skills including experience with electronic health records
Preferred Qualifications
Bachelor’s Degree
Master’s Degree
4 years of practice management or clinic leadership experience, including at least 2 years of physician office experience
2 years supervising or leading a minimum of 5 employees
