Position Type: Full-Time Job Summary We are seeking an organized Office Administrator to manage daily compliance, customer relations. You will serve as the primary liaison between our field technicians, active clients, central monitoring stations, and the Fire Department of New York (FDNY).Key Responsibilities FDNY Compliance & Paperwork
File A-400, B-45, and Letter of Approval applications.
Schedule FDNY inspection appointments through online portals.
Organize post-inspection documentation and cure violation notices.
Track compliance deadlines to prevent client penalties.
Customer Service & Communication
Answer incoming client phone calls and emails promptly.
Provide accurate updates regarding service schedules and billing.
Resolve customer complaints with professionalism and empathy.
Maintain clean digital client profiles in our database.
Central Station Coordination
Place accounts on "test mode" during active maintenance.
Process new account setups and update emergency contact lists.
Request signal history logs to help troubleshoot system issues.
Coordinate response efforts for false alarm dispatches.
Office Operations
Dispatch technicians to service calls based on priority.
Generate invoices and process client payments.
Order office supplies and manage physical filing systems.
Qualifications
Minimum 2 years of administrative experience in the fire alarm, security, or construction industry.
Deep familiarity with FDNY portals, filing processes, and New York City fire codes.
Experience interfacing directly with central monitoring station platforms.
Proficiency in Microsoft Office Suite and specialized dispatch software.
Excellent written communication and phone etiquette skills.
High school diploma required; Associate or Bachelor’s degree preferred.
Pay: $30.00 - $40.00 per hour
