required.$30.00 Per Hour, Estimated 15–20 hours per weekROLE OVERVIEWPlaymakers Nashville is seeking a highly organized and proactive Event & Programming Coordinator to support the continued growth of our programming, partnerships, fundraising initiatives, and community events.This role will support both strategic planning and hands-on execution across Playmakers Nashville activations while also helping strengthen internal systems and operational workflows as the organization continues to scale.The position functions as a hybrid coordination, production, and operations support role, helping bridge communication, logistics, project management, and live event execution across Playmakers programming and initiatives.ESTIMATED WORKLOADEstimated 15–20 hours per week on average.Workload will fluctuate based on event schedules, fundraising initiatives, committee activity, and partnership needs, with increased support expected surrounding major activations and live events.PRIMARY RESPONSIBILITIESEvent Planning, Coordination & Operations• Coordinate planning and logistics across Playmakers programming and events• Manage timelines, deliverables, and cross-functional communication• Organize meetings, planning materials, operational follow-up, and event documentation• Maintain organization across shared calendars, workflows, and project tracking systems• Support leadership and committees in driving projects forward efficiently and on scheduleAugust Event LeadershipA major priority of this role will be supporting and helping lead execution of Playmakers’ signature August fundraising event currently scheduled for August 20, 2026.• Take lead coordination and project management responsibility for Playmakers’ August event (currently planned for August 20)• Oversee event execution from concept through post-event recap• Coordinate timelines, vendor communication, logistics, production needs, and operational planning• Manage run-of-show development and event flow• Coordinate entertainment elements including band logistics and production support• Help oversee silent auction execution in partnership with volunteer subject matter experts and committee support• Serve as a primary operational lead leading into and during the eventLive Event & Activation Support• Provide on-site operational support across Playmakers events and activations• Support event setup, breakdown, registration flow, vendor management, and attendee experience• Execute run-of-show logistics and troubleshoot operational needs in real time• Support partners, sponsors, speakers, vendors, and leadership during live eventsOperational Systems & Process Development• Help develop more consistent planning systems, templates, and operational workflows• Organize event documentation, timelines, vendor information, and production materials• Support the creation of scalable operational processes as Playmakers programming continues to growVendor & Venue Coordination• Research venues, vendors, rentals, entertainment, photographers, and event production needs• Gather quotes, manage vendor communication, and assist with logistics coordination• Track operational deadlines, deliverables, and event-related logisticsStrategic & Organizational Support• Identify opportunities to improve organization, communication, and operational efficiency• Support leadership and committees with project follow-through and execution• Assist with special projects tied to partnerships, fundraising, membership programming, and organizational growth initiativesROLE QUALIFICATIONS• Experience supporting events, programming, productions, or nonprofit initiatives• Strong organizational and project management skills• Excellent written and verbal communication abilities• Ability to manage multiple projects and deadlines simultaneously• Comfortable working independently in fast-paced and evolving environments• Experience with Google Workspace, Canva, Airtable, or project management tools is a plus• Passion for sports, community-building, and women’s leadership strongly preferredROLE STRUCTURE NOTES• Hybrid remote/in-person role based in Nashville• Occasional evening and event-based hours required• Reports to the Playmakers Program Manager and collaborates closely with the Events Committee• Flexibility required surrounding fundraising
