Incumbent serves as Administrative Assistant for the Boone County Extension Office, responsible for performing various clerical duties in support of Purdue University Extension and other staff. This employee’s primary responsibility is managing the scheduling of the facilities on the Boone County 4-H Fairgrounds utilizing a web-based software. Successful candidates must possess superb problem-solving abilities and attention to detail, as well as strong customer service skills and the ability to multi-task and perform basic accounting functions.

Assisting office staff and Extension Educators in all aspects of Extension programmingFollowing and maintaining all office procedures and policiesAnswering and directing telephone calls to the appropriate department/individualGreeting office visitors in a courteous manner, handling inquiries, providing information, distributing reference education bulletinsTaking and distributing messages, within the office and from clienteleAssisting with communications through mailings, email, social media, letters and messagesCommunicating with other Extension Office personnel and other resources as requested, using email, and web conferencing Typing documents and correspondence, photocopying, scanningAssisting with Extension programming including taking and recording reservations, preparation of materials, making copies, marketing, organizing and helping conduct programs as necessaryMaintaining an electronic calendar on the office systemMaintaining electronic and physical filing systemsCompiling and maintaining records of office activitiesAssisting with updating and management of office databases and websiteChecking and entering data, including 4-H enrollment informationMonitoring and ordering inventory of office suppliesAssisting with 4-H Fairgrounds facilities reservationsAssisting with preparation of bi-weekly payrollAssisting with preparation for the Annual Boone County 4-H Fair and 4-H ExhibitionPerforming basic accounting functions, including following financial policies and procedures set by Boone County, Purdue University, and the Extension Office Attending office staff and other meetings as requiredPerforming duties of other office personnel in their absence or as neededMaintaining an efficient work environment Performing related duties as assigned by educators
SUPPLEMENTAL INFORMATION
II. DIFFICULTY OF WORK Incumbent performs a majority of duties in a standard office environment, sometimes outdoors, which may involve sitting and walking at will, sitting for long periods, pushing/pulling/lifting/carrying objects weighing 20 pounds, occasionally more, keyboarding, speaking clearly, bending at waist, driving, depth and color perception, hearing communication, close and far vision, and handling/grasping objects. Incumbent regularly uses vehicle to attend meetings and department-sponsored events. Incumbent occasionally works extended and/or evening hours, occasionally works weekend hours, and occasionally travels out of town for training. III. RESPONSIBILITY: Incumbent performs a variety of clerical tasks in support of business operations and performs related duties as assigned. Incumbent receives general supervision, and discusses unusual or unprecedented situations with supervisor as needed. Incumbent’s work is primarily reviewed for attainment of objectives and effect on department goals and objectives. IV. PERSONAL WORK RELATIONSHIPS: Incumbent maintains frequent contact with co-workers, other county departments, program participants, non-profit organizations, Purdue University, and the general public for purposes of exchanging information and rendering service. Incumbent reports directly to the County Extension Director. V. ADA Compliance: Physical Ability: Tasks require the ability to exert light physical effort in sedentary to light work, but which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (20 pounds). Tasks may involve extended periods of time sitting and performing computer work at a desk or work station. Environmental Factors: Essential functions are regularly performed without exposure to adverse environmental conditions.
