Job Summary
The Dental Practice Manager oversees the daily operations of a dental office, ensuring efficient workflow, excellent patient care, and compliance with healthcare regulations. This role combines administrative leadership, financial management, and team coordination to maintain a productive and patient-focused environment.
Key Responsibilities
1. Administrative Management
Oversee daily office operations, including scheduling, patient flow, and front desk activities.
Maintain accurate patient records and ensure compliance with privacy laws (HIPAA).
Implement and update office policies, procedures, and protocols.
Manage office supplies, equipment maintenance, and vendor relationships.
2. Financial Management
Monitor and manage budgets, expenses, and financial performance.
Oversee billing, collections, and insurance claim processing.
Prepare financial reports and assist with forecasting and cost control.
Ensure accurate fee schedules and coding compliance.
3. Human Resources and Team Leadership
Recruit, train, and supervise administrative and clinical staff.
Conduct performance evaluations and provide coaching or disciplinary action as needed.
Foster a positive, collaborative, and professional work environment.
Schedule staff shifts and manage time-off requests to ensure adequate coverage.
4. Patient Relations
Ensure a high standard of patient service and satisfaction.
Address patient concerns, complaints, and feedback promptly and professionally.
Oversee patient communication, including appointment reminders and follow-ups.
Promote patient retention and referral programs.
5. Compliance and Quality Assurance
Ensure compliance with OSHA, HIPAA, and other regulatory standards.
Maintain accurate documentation for audits and inspections.
Support infection control and safety protocols.
Coordinate continuing education and training for staff.
6. Marketing and Business Development
Develop and implement marketing strategies to attract new patients.
Manage the practice’s online presence, including website and social media.
Track and analyze patient growth and retention metrics.
Collaborate with the dentist(s) to identify opportunities for service expansion.
Qualifications
Bachelor’s degree in business administration, healthcare management, or related field (preferred).
Minimum of 3–5 years of experience in dental or medical office management.
Strong leadership, communication, and organizational skills.
Proficiency in dental practice management software (e.g., Dentrix, Eaglesoft, Open Dental).
Knowledge of dental billing, insurance, and compliance regulations.
