Through hands-on experiences, research, and outreach initiatives, the Hyundai College of Education supports student success while addressing critical educational and workforce needs in the region.Job SummaryThe Coordinator of Administrative Services provides comprehensive administrative support to faculty, staff, and students within the Hyundai College of Education. This position manages daily office operations, supports event planning, maintains official records, and ensures smooth and professional functioning of the Dean's Office. The coordinator serves as the primary contact for inquiries and supports the college's mission through excellence in administrative logistics.NOTE: In compliance with federal law, all persons hired will be required to verify identity and eligibility to work in the United States and to complete the required eligibility verification form upon hire. This position does not offer sponsorship for employment visas.ResponsibilitiesCoordinate meetings, calendars, and daily functions of the Dean's Office.Assist in preparing and distributing promotional materials for the College of EducationMaintain secure and organized college files, including confidential records related to faculty hiring, evaluation, and student services.Provide high-level customer service by responding to phone, email, and in-person inquiries.Assist in preparing annual reports and compiling data for internal and external stakeholders.Support planning and execution of college events, workshops, and meetings.Review and process travel authorizations and expense reimbursements for faculty and staff.Track departmental budgets, monitor expenditures, and manage office supply ordering and inventory.Support faculty with course materials and students with program-related inquiries.Perform general clerical duties including data entry, recordkeeping, correspondence, and filing.May be required to perform job related duties other than those specifically delineated in this description.Required QualificationsBachelor's degree in Business Administration, Education, Public Administration, or a related field.Minimum of 2-3 years of progressively responsible administrative support experience, preferably in a higher education or professional office setting.Strong organizational, time management, and multitasking skills with the ability to manage multiple priorities and meet deadlines.Excellent written and verbal communication skills.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and general office technologies.Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.Strong customer service and interpersonal skills with the ability to interact professionally with diverse stakeholders.Preferred QualificationsExperience working in a college or university setting, particularly within an academic department or dean's office.Experience with budget tracking, procurement processes, and travel reimbursement systems.Familiarity with student information systems, learning management systems (e.g., D2L), or institutional data systems.Experience supporting event planning, workshops, or large-scale programs.Knowledge of university policies, procedures, and reporting requirements.Ability to analyze data and assist with report preparation for internal and external stakeholders.Proposed SalaryThe proposed salary range for the Coordinator of Administrative Services position is $48,000.00 - $50,000.00 annually.Knowledge, Skills, & AbilitiesKnowledge of:* Modern office management practices and university operations* Database systems, filing protocols, and document confidentiality standardsSkilled inTime management and handling multiple priorities simultaneouslyProfessional communication (oral, written, and interpersonal)Microsoft Word, Excel, PowerPoint, Adobe Acrobat, and budget tracking toolsOperation of standard office equipment (multi-line phone, copier, scanner, printer)Ability to:Maintain professionalism and confidentiality in a busy office environmentLearn and apply institutional policies and procedures quicklyOrganize workflow and adapt to changing prioritiesCommunicate clearly and respectfully with students, faculty, staff, and the publicWork cooperatively and contribute as part of a teamMaintain a positive, service-oriented demeanorApply Before DateReview of applications will begin immediately and continue until the position is filled.
