Job Description
This Executive Assistant role supports a COO and VP of Commercial within a fast-paced, operations-driven organization in the energy/offshore space. The position is a hybrid of high-level executive support and analytical coordination, requiring strong calendar and travel management across multiple time zones, along with ownership of reporting such as revenue, operations, and scheduling data. The ideal candidate will be highly proactive, detail-oriented, and Excel-savvy, with the ability to anticipate executive needs, manage competing priorities, and contribute to board-level presentations and business reporting. This is a high-visibility role working closely with senior leadership, offering exposure to both operational and commercial functions within the business.
Responsibilities:
Oversee and manage complex scheduling for the COO and VP of Commercial, ensuring priorities are aligned across multiple time zones
Coordinate meetings end-to-end, including logistics such as audiovisual setup and catering arrangements
Handle all aspects of travel planning, both domestic and international, including itineraries, lodging, and expense coordination
Support the creation of quarterly board materials for both Operations and Commercial leadership
Compile and deliver recurring reports, including weekly operational updates and vessel schedules
Generate and track daily revenue reporting
Process invoices and ensure accurate coding for payment
Utilize Excel to analyze data, identify trends, and support business insights
Maintain clean, structured, and reliable datasets for reporting purposes
Build visual reports, including charts and graphs, to present data clearly to leadership
Assist in developing executive-level presentations, communications, and supporting materials
Organize and maintain filing systems for documents, records, and correspondence
Proactively anticipate leadership needs and identify opportunities to improve workflow and efficiency
Manage confidential information with a high level of professionalism and discretion
Provide general administrative support, including document preparation and office coordination
Offer backup assistance to other executive assistants as needed
Requirements and Qualifications:
23+ years of experience supporting senior leaders in an executive or high-level administrative capacity, with additional administrative experience preferred
Advanced proficiency in Microsoft Office, particularlyExcel(data analysis, reporting, and visualization), as well as Word, PowerPoint, and Outlook
Strong ability to manage multiple priorities, stay organized, and adapt in a fast-paced environment
Demonstrated experience coordinating complex calendars and travel, including across multiple time zones
High attention to detail with a focus on accuracy, especially when working with data and reports
Excellent written and verbal communication skills, with the ability to interact professionally with senior leadership
Proven ability to take initiative, think ahead, and anticipate the needs of executives
Experience preparing presentations, reports, and executive-level materials
Comfortable handling sensitive and confidential information with discretion
Strong problem-solving skills and the ability to work both independently and collaboratively
Familiarity with SharePoint or similar document management systems is preferred
Prior exposure to operations, logistics, or data-driven environments (e.g., energy, offshore, industrial) is a plus but not required
