Fundraising Database Manager

Location: Fairfax VA - onsite. Hybrid possible after training completed.We are seeking a highly analytical and detailed-oriented Database Manager to serve as the central steward of our department's data ecosystem. In this mission-critical role, you will spend the majority of your time conducting deep data analysis, structing complex datasets, pulling, integrating, and transforming information from multiple external and internal systems.This position collaborates closely with the Director, Advancement Services, to manage the day-to-day operations of the Advancement database for the NRA Office of Advancement. PLEASE NOTE: The finalist for this position is subject to criminal and credit checks.ESSENTIAL RESPONSIBILITIES:1. Manage day-to-day operation of the Advancement Database for the NRA Office of Advancement. Serve as the primary "super user" for the database to include but not limited to: Setting up new users; training new users and maintaining user roles, permissions, and system workflows.2. Data Integrity - maintain a clean, secure database, setting up automated data hygiene processed to keep constituent profiles updated. Drive database clean-up and maintenance, including the elimination of duplicate accounts and establishment of new donor records. Implement best practices for data integrity and proactively communicate to staff opportunities to enhance our donor record information.3. Database Structing & Optimization - Design, implement, and continuously refine the overall database structure, ensuring it is well organized and set up effectively for campaigns and other key categories or supporter segmentations. Document all processes, data dictionaries, reporting templates, dataset structures, and categorization logic.4. Gift Administration - Oversee and manage gift entry, donation processing, and reconciliation between Virtuous and other NRA database programs. Ensure adherence of the collection and appropriate coding of planned gifts in the Advancement database. Responsible for scanning backup material and linking media to records.5. System Integration - Manage the integration data processes by pulling information from multiple systems into Excel for integration, reconciliation, and analysis, developing reputable processes and templates that minimize manual effort. Collaborate with other departments to find best practice solutions for setting up automated data flow processes utilizing API integrations where feasible.6. Reporting & Analytics - Generate reports for the Advancement team to with the goal of being more proactive with reports on special fundraising projects, as well as everyday fundraising activities. Serve as the liaison to Advancement Officers for list pull and mailing lists. Meet report and information request deadlines and ensure that the information reported is current and accurate. This also includes special requests for lists for mailings, cultivation events, donor visits, etc. Collaborate with program, development, and finance teams to define data requirements, campaign segmentation needs, and deliver tailored insights through custom Excel workbooks and dashboards.7. Training & Support - Train staff on best practices, data entry standards, and proper use of the database to include quarterly staff training opportunities.8. Analytical Thinking - Ability to interpret data to offer insights on donor behavior and campaign performance with a strong understanding of fundraising processes, gift entry standards, and donor stewardship.9. Program Data Entry - Responsible for the data entry, tracking, and invoicing for payment regarding the Firearms for Freedom Program. This includes collaborating with donors/vendors to ensure that all firearms information is entered into the Advancement database.10. Fundraiser Support & Data Entry Assistance - Work closely with Advancement staff to ensure the timely data entry of all actions, notes, and other donor/prospect information important for historical stewardship purposes. Assist fundraisers with their data entry by providing one-on-one guidance and troubleshooting data entry challenges. Conduct regular quality checks on fundraiser-entered data and work directly with the Advancement staff to correct issues and improve data entry practices.11. Perform other duties as assigned.EDUCATION, EXPERIENCE, KNOWLEDGE, SKILLS, AND ABILITIESRequired:- A commitment to the mission of the NRA.- Personal and professional integrity, as well as high standards of excellence.- Strong analytical critical thinking skills.- Advanced proficiency in structured query language.- In-depth knowledge of database technologies.- Knowledge of advanced Excel formulas and functions (INDEX/MATCH,XLOOKUP, array formulas, PivotTables)- Ability to troubleshoot software issues.- Advanced analytical organizational skills and attention to detail.- Excellent written and oral communication skills.- High School diploma and a minimum of 5 years prior data entry/analysis work experience.- Demonstrated ability to work independently and as a member of a team.- Ability to function in a fast-paced work environment with minimal supervision meeting deadlines with accuracy and completeness.- Essential that applicant have a track record as an adaptive learner and fast starter with strong self-motivation.Preferred:- Knowledge of Virtuous fundraising software.- Knowledge of API integrations, Zapier, or other automation tools.- Experience with data visualization tools (Tableau, Power BI, Excel-based charting, or Sigma Computing)- SQL/HTML experience.- Associates or BA/BS Degree.- Prior experience in a membership driven organization.- Not-for-profit/fundraising involvement/employment.
