About Us: At Beauty Freak, we are dedicated to providing first class care and a Ritz Carlton experience for our clients. We are looking for a dedicated Spa Coordinator to join our team who shares a deep passion for beauty, wellness & spectacular customer service. Job Summary: The Spa Coordinator plays a crucial role in managing the client experience within our spa. This position involves handling client flow, front desk, and ensuring smooth day-to-day operations. The ideal candidate will excel in customer service, multitasking, and organizational skills, and will be an essential part of our team. Key Responsibilities: Client Flow Management: Oversee the smooth movement of clients through the spa in-between treatments, ensuring timely and efficient service. Customer Service: Greet clients, answer phones, check voicemails, return missed calls, and convert phone inquiries into booked consultations. Provider Coordination: Work closely with our Beauty Technicians & Nurses to ensure seamless integration of client care and therapy. Follow-Ups: Contact clients regarding missed appointments and follow up on treatment outcomes. Administrative Duties: Use the Zenoti platform to check in/out clients, confirm and schedule appointments, book programs, and send text and email campaigns. Payments and Waivers: Collect payments for services and ensure all client waivers are signed & completed before each appointment starts. Facility Management: Stock the refrigerator, order supplies, manage inventory, and ensure the cleanliness of equipment & spa at all times. Client Engagement: Give facility tours, learn about services and products, and help book events and networking opportunities for the owner. Follow-Up Calls: Conduct follow-up calls the day after treatments and provide detailed notes. Required Skills and Qualifications: Customer Service: Exceptional ability to provide friendly, helpful, and professional service to clients & have strong rapport-building skills. Reliability: Dependable with a strong sense of responsibility and integrity. Quick Learner: Ability to rapidly acquire and apply new skills and knowledge. Numerical Aptitude: Comfort with handling numbers and processing payments accurately. Organizational Skills: High level of organization & ability to manage multiple tasks efficiently. Must have superior time management skills in a fast-paced environment. Computer Knowledge: General proficiency with MS Office (Word, Excel) and preferred experience the software platform Zenoti. (Training will be provided if needed.) Professional Communication: Strong phone and interpersonal skills, always maintaining professionalism and courtesy. Team Player: Collaborative attitude with a willingness to support and work with others. Additional Information: Work Environment: Fast-paced, dynamic setting requiring adaptability and a proactive approach. Schedule: 20-30 hrs. Days are flexible. Pay: $15-18/hr (depending on experience). Bonus opportunities.
