Assistant to Director for Empowerment Programs

As the Assistant to Director of Empowerment Programs, your responsibilities will include coordinating meetings, conducting case file audits, and managing documentation for state and federally funded programs. You will support the Director with administrative tasks and provide assistance to program staff. Additionally, you will update reports, communicate with team members regarding upcoming events and workshops, manage filing systems, and handle administrative duties such as scheduling appointments and responding to emails. Strong organizational, communication, and multitasking skills are essential, along with proficiency in document management. **Duties** ● Schedule and arrange meetings with clients and partners in communities. ● Work on programs audit tasks, including updating necessary documents and following up with team members. ● Organize and supervise workshops, including setting up and take down, counting participants for reporting purposes. ● Update workshop lists, communicate with the WE Team about upcoming workshops, and maintain the workshop interpreter spreadsheet. ● Organize filing cabinets, ensuring all documents are properly sorted and filed. ● Assist in unloading and sorting food from Second Harvest, ensuring proper distribution and documentation. ● Check and respond to emails promptly, ensuring all communications are handled efficiently. ● Assist in compiling contact lists for events and scheduling appointments for clients. ● Update monthly reports, audit documents, and complete monthly narrative report for ORIA program. ● Plan and coordinate events with external partners, ensuring all details are managed and communicated effectively. ● Assist team members with various administrative tasks, such as sending emails and organizing event materials. ● Represent Director of Empowerment Programs at meetings as requested ● Take Lead on projects as requested by Director of Empowerment Programs **Qualifications** An undergraduate degree or equivalent professional work experience. Fluency in written and spoken English. Highly organized self-starter with demonstrated problem-solving and follow-through abilities, and proven success in managing multiple and diverse priorities under pressure. Strong analytical problem-solving skills with attention to detail. Demonstrated success in achieving goals and communicating effectively in a multicultural environment. Excellent interpersonal skills, with a professional, friendly, and courteous attitude. Computer literacy and database experience. High level of flexibility and ability to adapt to shifting priorities.
