NORTHWEST INDEPENDENT SCHOOL DISTRICTJob Title: Elementary Office Manager (0803) Dept. /Campus: Campus AssignedReports to: Campus PrincipalWage/Hour Status: Non-Exempt Duty Days: 220 Pay Grade: P30 Date Revised: 05/2023Primary Purpose:Ensure efficient operation of school administrative office, provide clerical services for school's administrative staff, coordinate and evaluate the performance of clerical staff.Qualifications: Ability to maintain confidentialityHigh school diploma or GEDProficient keyboarding skillsEffective organization, communication, and interpersonal skillsAbility to delegate responsibilitiesKnowledge of basic accounting principlesOne to three years administrative assistant experience, preferably in a public education environmentAbility to follow written instructionsAbility to operate a phone systemUnderstanding of school policies and operationsMajor Responsibilities and Duties:Campus and administrator operations:Support principal and assistant principalsPrepare written correspondenceCreate, maintain, and process formsManage principal calendarPlan catering and meeting arrangementsOrganize campus eventsMaintenance requestsOperational Equipment - make service calls, refill toner, refill paper, print, laminate, etc.Financial operations, HR and Risk Management Liaison:Maintain budgetManage and generate purchase orders, requisitions and quotesManage cash flow Monitor and process personnel time records including leave requests and reports. Compile information and submit to central office according to established deadlines.FMLA, new hire assistance and resignationsCampus Registrar:Process enrollment of new and returning students, including all guardian communicationProcess withdrawing studentsScheduling and Report Cards:Create and maintain master scheduleSchedule studentsMaintain teacher and room informationReport Card processProgress Report processPEIMS state reporting:Verify accuracy of data reported to TEA for students, staff, and financePEIMS coding entry in student information systemGuardian and Community communication:Incoming guardian phone calls and emailsCampus Facebook pageCampus webpage calendarRecords Management:Student records request and fulfillment using TREx and out of state methodsRecords Retention Liaison for campusAll other duties as assigned.Supervisory Responsibilities:N/AEquipment Use:Computer, printer, copier, and calculatorWorking Conditions:May require standing for long periods of time and frequent stooping, standing, stooping, bending, pulling, keyboarding, pushing, overhead reaching, walking, and bending. Maintain emotional control under stress, work with frequent interruptions. Move small stacks of textbooks, media equipment, desks, and other classroom equipment. Occasional district wide travel. Occasional prolonged hours before and after school as well as weekends may be necessary. Must have the ability to lift 25 pounds to waist height.
