Communications Manager & Executive Assistant
Position OverviewBoca Grande Club, a private club and gated community, is seeking a highly professional, detail‑oriented Communications Manager & Executive Assistant. This role supports executive leadership while overseeing internal and external communications, marketing materials, and member‑facing content.The ideal candidate is an excellent communicator with strong organizational skills, a polished writing style, creative design ability, and the highest level of discretion and professionalism. This position plays a key role in managing the Club’s messaging, brand presentation, and executive coordination.Key ResponsibilitiesExecutive & Administrative SupportProvide direct administrative support to the CEO, including scheduling meetings, coordinating calendars, and preparing correspondenceCreate, edit, and format executive presentations, reports, forms, and documentsAssist with meeting preparation, agendas, and follow‑up materialsHandle confidential and sensitive information with discretion and professionalismCommunications & MarketingDraft, edit, and distribute email marketing campaigns and member communicationsMaintain and update member communication preferences and distribution listsOversee content creation and scheduling for member announcements and noticesEnsure clarity, accuracy, and consistency in all communicationsDesign & Brand ManagementDesign flyers, digital graphics, and visual materials for Club events and initiativesManage Club graphics and branding assetsDesign and format presentations for leadership useWork within established brand standards to ensure consistency across all platformsNewsletter & Club NewsRecord and organize Club news and updatesDesign, edit, and coordinate production of the Club newsletterCollaborate with departments to gather timely and relevant contentCoordination & OrganizationCoordinate schedules and meetings involving executive leadershipTrack deadlines and ensure communications and materials are delivered on timeEdit and proofread documents, files, and presentations for accuracy and professionalismRequired Skills & QualificationsExceptional written and verbal communication skillsStrong attention to detail and organizational abilityProfessional demeanor with the ability to interact confidently with leadership, staff, and membersProven ability to maintain confidentiality at all timesAbility to manage multiple projects and priorities efficientlyTechnical SkillsProficiency in Microsoft Office 365 (Outlook, Word, Excel, PowerPoint)Experience with Canva preferredWorking knowledge of Adobe Acrobat preferredExperience with Adobe Photoshop or similar design software preferredEducation & ExperienceAssociate’s or Bachelor’s degree in Communications, Marketing, Business Administration, or a related field is a plus3+ years of experience in communications, marketing, executive assistance, or a similar professional role preferred Experience in a private club, hospitality, or member‑based organization is a plusBenefitsHealth insuranceDental insuranceVision insuranceLife insuranceSIMPLE IRA with employer matchingPaid time offStable, year‑round employment in a professional private‑club environmentEqual Opportunity EmployerBoca Grande Club, Inc. is an Equal Opportunity Employer and a Drug‑Free Workplace (DFWP).
