Administrative Assistant

Under the supervision of the Human Resources and Finance Administrator, the Administrative Assistant provides staff and client support and performs basic bookkeeping tasks. They greet and assist visitors and answer the company phone in a professional, respectful, and welcoming manner. They are the first point of contact thus paving the way for the experience our clients will have. Responsibilities (including but not limited to):Greet all visitors making them feel welcomedAnswer incoming phone calls and return messagesMaintain a professional and cooperative relationship with all staff, clients, vendors, and partnersEnsure office inventory is current and stocked at all office locationsFile documents in a manner in which documents may be easily located and are secure Ensure bookkeeping tasks are completed in a timely mannerAssist HR & Finance Administrator, President, and CEO as neededAssist in keeping the office space clean and welcomingDuties (including but not limited to):Build rapport with staff and clientsManage agendas and keep meeting minutes; meeting preparation Schedule appointments as neededOrder office and household supplies and maintain inventoryManage emails, mail, packages, phone calls, and voicemailsMaintain office equipment and assist staff with any technical issuesEnter receipts into Quickbooks and print checks as neededSet up and maintain vendor relationshipsAssist in gathering requested documents for tax and audit purposesSend updated contract materials annually and as requestedAssist in project management and maintaining office procedures/policiesQualifications:Ability to maintain a professional and respectful manner at all timesExperience working with a diverse populationExcellent time management and organizational skillsProficient in Quickbooks online, GSuite, Microsoft Word, and Microsoft ExcelExcellent written and oral communication skillsTyping speed of at least 55 wpmFamiliarity with common procedures and basic account principles2 years receptionist experience, or similar experience, preferredHuman services background a plus
