Job Title: Project Manager AssistantLocation: Tulsa, OK (Regular Commute to Muskogee Required)Pay: $65,000–$70,000 (DOE)Schedule: Full-Time | Temp-to-HireIndustry: ConstructionPosition OverviewA growing construction company is seeking a highly organized and proactive Project Manager Assistant to support multiple construction projects from start to finish. This role serves as the right hand to the Project Manager by coordinating project documentation, schedules, subcontractor communication, purchasing, job cost tracking, and project closeout activities. The ideal candidate thrives in a fast-paced construction environment, is an excellent communicator, and has exceptional organizational skills with the ability to keep multiple projects moving efficiently.Key ResponsibilitiesProvide day-to-day administrative and project coordination support to Project ManagersMaintain project documentation, including contracts, submittals, RFIs, change orders, permits, and project filesCoordinate project schedules, meetings, and communications with vendors, subcontractors, and internal teamsTrack project costs, purchase orders, invoices, and budget-related documentationMonitor project deadlines and proactively follow up on outstanding documentation and action itemsAssist with subcontractor onboarding, insurance certificates, lien waivers, and compliance documentationPrepare and maintain project reports, logs, and status updates for leadershipCoordinate project closeout activities, including collecting warranties, O& M manuals, as-built drawings, permits, and turnover documentationPrepare complete project closeout packages and ensure all documentation is submitted accurately and on timeSupport office operations and assist with special projects as assignedQualifications3+ years of experience supporting Project Managers, Project Coordinators, or construction operationsConstruction industry experience strongly preferredExperience managing project documentation throughout the project lifecycle, including closeout packagesFamiliarity with contracts, submittals, RFIs, change orders, purchase orders, and job cost documentationStrong organizational and time management skills with the ability to prioritize multiple projects simultaneouslyAdvanced proficiency in Microsoft Excel and Microsoft Office (required)Experience with Google Workspace and construction management software is a plusExcellent verbal and written communication skills with the ability to work effectively with field personnel, subcontractors, vendors, and leadershipSelf-motivated, detail-oriented, and able to anticipate project needs before they ariseReliable transportation and ability to commute to Muskogee as neededMust be able to pass a background check and drug screenRobert Half is the world’s first and largest specialized talent solutions firm that connects highly qualified job seekers to opportunities at great companies.
