Job Name:Staff Support SpecialistLocation: Wahiawa, HawaiiRemote Work: NoShift Work: NoRequired Clearance: TS/SCI with POLYGRAPHPosition Type: AvailableDESCRIPTION: The Staff Support Specialist assists the Government leadership in supporting resource management requirements.ResponsibilitiesCoordinate and track all visit requests and requirementsEnter visitor request information into database within 1 business dayDevelop Visit Agenda and coordinate/schedule meetings and briefingsAssist in managing Registrar actionsReceive and distribute actions from external organizationsCollect and document funding requirements and continually update/validate requirementsEstablish and update email alias distribution listsTrack accountable materials and propertyCoordinate Government leadership meetings to include scheduling rooms, inviting participants, distributing read-ahead materials and providing meeting minutesEnsure action requirements and suspense dates are captured and communicated to required officesReceive and consolidate input from different offices for leadership concurrence; send action responsesMaintain roster of Government personnel for recall purposesAssist in identifying supply requirementsReceive supply orders and manage distribution and storageAssist the Government in communicating the Government’s Communications Strategy to facilitate information flow throughout organization to include budget and manager issuesPlan and coordinate events with local businesses, councils, and/or schools attended by personnelDocument all work flows/processes (i.e. SOP)Receive and distribute actions from external organizationsAttend/facilitate all project meetingsDevelop visit agenda for VIPsCoordinate, enter, and track all VIP visit request information and requirements into existing databaseDraft and maintain a Standard Operating Procedures (SOP) for Government functional administrative processes to include process automationMeet Skill Level 2 on Microsoft Outlook, Word, Excel and PowerPointMINIMUM REQUIREMENTS:A current & active Top Secret/SCI clearance and polygraph requiredAn Associate’s Degree from an accredited college or university (Two (2) additional years of relevant experience may substitute for an Associate's degree)At least two (2) year’s experience supporting senior level staff processes and functions.
