Position SummaryUnder the direction of the Senior Executive Assistant, the Receptionist/Administrative Assistant provides comprehensive administrative and operational support to Corporate Executives. This role serves as the first point of contact for customers, guests, and vendors, ensuring a professional and welcoming experience both in person and via telephone.Job ResponsibilitiesResponsibilities include, but are not limited to:Maintain a clean, organized, and professional reception area.Greet visitors, manage sign-in procedures, issue visitor badges, and notify staff of arrivals.Answer and route incoming calls promptly and professionally.Provide exceptional customer service by addressing and directing inquiries from guests, customers, and vendors.Manage multiple (6–8) calendars, ensuring accuracy and efficiency in scheduling.Schedule and coordinate meetings, conferences, and teleconferences.Order, track, and maintain office supplies.Distribute and manage incoming and outgoing mail.Support the Senior Executive Assistant and Corporate Executives with administrative and information management tasks.Screen correspondence, draft communications, and gather information as needed.Prepare and process documents, reports, and presentations, including formatting and data entry.Maintain filing systems and records, including documentation of meeting discussions.Handle confidential and sensitive information with discretion and professionalism.Manage select vendor accounts, focusing on cost control and efficiency.Coordinate catering for meetings, including setup, cleanup, and restocking.Process invoices by scanning and submitting TC and ranch invoices to Accounting.Create and update informational slides for DAKboards.Assist the Chief of Staff with expense tracking and management.Maintain and update the company Christmas card and gift list, including address management and order tracking.Support new-hire onboarding at the Space Center office, including preparation of supplies, signage, and badges.Assist with errands, offsite meetings, and special events as needed.Perform other duties as assigned.EducationHigh School Diploma or GED requiredAssociate’s or Bachelor’s degree preferredWork Experience & Requirements5–7 years of administrative support experience required3–5 years of experience managing complex calendarsStrong attendance, reliability, and punctuality are essentialAvailability to work after hours and weekends as neededValid driver’s license and reliable personal transportation requiredAbility to run errands and support offsite meetings and events, including transporting company dogs as neededMust love dogs and be comfortable working in a dog-friendly environmentSkills & CompetenciesProficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), Microsoft Teams, and SharePointStrong organizational skills with exceptional attention to detailAbility to manage multiple complex tasks with minimal supervision while adhering to company policies and proceduresExcellent customer service and interpersonal skillsAbility to work independently and collaboratively within a team environmentStrong written and verbal communication skills in EnglishProfessional demeanor and strong work ethicAbility to maintain confidentiality and exercise sound judgmentProficiency in operating and troubleshooting office equipment, including copiers, printers, projectors, postage meters, telephones, and related technologyBilingual in English and Spanish preferredPhysical RequirementsAbility to perform duties in an office environment, including sitting, standing, walking, bending, and lifting up to 25 poundsAbility to drive and travel as needed
