Orthodontic Financial Coordinator

Due to the needs of our practice, only applicants with prior experience in insurance billing and contracts within an orthodontic or dental setting will be considered. Our private orthodontic office is seeking a Financial Coordinator to join our team. This role is essential to creating a positive patient experience by managing financial processes with accuracy, professionalism, and a friendly demeanor. The Financial Coordinator serves as the primary expert liaison between patients, the practice, and insurance providers, ensuring clarity, efficiency, and timely follow-through. Skills & Abilities Exceptional interpersonal and communication skills; professional, respectful, and positive with patients, doctors, and team members. Strong conflict-resolution skills and the ability to remain friendly and collaborative, even in fast-paced or high-pressure situations. Highly organized, detail-oriented, and able to multitask effectively with frequent interruptions. Self-motivated with the ability and eagerness to learn quickly and work independently. Strong analytical, problem-solving, and critical-thinking skills with a proactive, solutions-focused mindset. Excellent written communication skills, including proper grammar, spelling, and punctuation. Comfortable working with numbers and financial data; accuracy is essential. Proficient with computers, office equipment, and digital filing systems; experience with orthodontic or dental practice management software is a strong plus. Strong understanding of insurance claims, EOBs, billing processes, and payment posting. Able to recognize and avoid phishing or scam attempts via email, mail, and online platforms. Dependable follow-through and ability to complete tasks thoroughly and within established timelines. Key Responsibilities Submit and track claims, follow up on outstanding and denied claims, and ensure timely reimbursement. Present treatment plans, explain financial policies, and review payment options with confidence and clarity. Manage patient billing, post payments, reconcile accounts, and maintain accurate financial records. Assist patients in setting up and managing flexible payment arrangements. Provide clear, compassionate explanations of financial matters to ensure patients feel informed, supported, and at ease.
